About The Position

This role combines administrative and leadership expertise to ensure high quality care, effective case management and administrative optimization. As the team lead you will support service delivery aligned with organizational, regulatory, and contractual standards, and act as the main administrative liaison between internal teams.

Requirements

  • 2 to 5 years of experience in administration, case management, or a related field, with preference given to candidates with case management experience.
  • Proven leadership, team building, coaching, and mentorship skills, with demonstrated success leading teams through operational change and process improvements.
  • Knowledge of return-to-work (RTW) planning, vocational rehabilitation, disability management, and relevant legislation.
  • Strong organizational, administrative, and time management skills, with the ability to effectively manage competing priorities in a fast-paced environment.
  • Excellent critical thinking, problem-solving, and analytical skills, with the ability to make sound decisions and adapt to changing circumstances.
  • Exceptional verbal and written communication, interpersonal, and customer service skills, with a caring, approachable, and objective approach.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience working within electronic case management or electronic health record systems.

Responsibilities

  • Provide day-to-day leadership, supervision, coaching, and administrative support to the Functional Recovery Support Case Management (FRSCM) team, including onboarding, training, mentorship, performance management, and professional development.
  • Oversee team operations, staffing requirements, vacation planning, and resource allocation to ensure efficient, effective, and uninterrupted service delivery.
  • Monitor team performance, service quality, and key performance indicators (KPIs), including time to treatment, client engagement, return-to-work (RTW) outcomes, productivity, and service standards.
  • Ensure timely scheduling, accurate documentation, reporting, and compliance with organizational policies, regulatory requirements, contractual obligations, and best practices.
  • Coordinate and oversee administrative processes related to Workers' Compensation and Return-to-Work (RTW) programs while collaborating with intake, scheduling, clinical, and administrative teams to support operational workflows.
  • Conduct file audits, service reviews, and quality assurance activities to ensure consistency, accuracy, compliance, and high-quality client care.
  • Support program evaluation, reporting, change management, and continuous improvement initiatives through data analysis, process optimization, and operational oversight.
  • Develop, implement, and maintain operational procedures, service standards, protocols, and quality assurance processes that enhance program effectiveness, operational efficiency, and client outcomes.
