About The Position

Performs a variety of clerical support functions for the Property Manager/Tax Office, serving as a receptionist and assisting the public. Additional duties include processing manufactured home warrants, seizures, and ownership transfers.

Requirements

  • High school diploma or general education degree (GED); or six months to one year related experience and/or training; or equivalent combination of education and experience.
  • Valid Driver's License
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Knowledge of accounting software; Internet software; Spreadsheet software and Word Processing software.

Responsibilities

  • Serves as receptionist or counter clerk answering routine inquiries and providing general information; refers callers to appropriate department or agency.
  • Accepts tax payments from the public, including posting tax payments received daily at the counter and by mail. Issues receipts for all monies received; closes out and balances the till on a regular basis. Enters all monies received/receipting into the Finance system.
  • Receives and distributes incoming mail and processes outgoing mail.
  • Assists in the processing and mailing of delinquent notices.
  • Assists with the foreclosure process, including collection of money for these properties, making sure the correct amount of money for these properties is posted to the correct year, assisting with foreclosure mailings both regular and certified, and assisting with collecting necessary ownership documents for redemption of foreclosed property.
  • Updates notice of intent to warrant and warrant document for mailing, and recording including preparing mailings both regular and certified for tax warrants and filing warrants in numerical order.
  • Runs weekly report of tax warrants satisfied.
  • Assists with collecting proceeds from Property Sales auctions.
  • Explains the general functions and processes of the Tax/Property Management Office.
  • Explains the Oregon Property Assessment, Taxation and Property Management methods, not limited to Oregon Revised Statutes, Oregon Administrative Rules and/or State Measures.
  • Assists the public by providing information relative to ownership, valuation, etc. as needed and assigned by Supervisor.
  • Will assist and be cross trained on other functions within the department for coverage when staff is on vacation and sick leave.
  • Perform other duties as assigned.
