About The Position

We are looking for a highly organized, proactive Tax Administrator / Tax Project Manager to join our accounting firm in downtown Salt Lake City. This is a key role within our firm. You will work closely with a CPA to keep tax engagements, client requests, deadlines, and internal projects moving forward. The ideal candidate is someone who enjoys creating order, staying ahead of deadlines, communicating with clients, and making sure nothing falls through the cracks. You should be comfortable working in a professional, deadline-driven environment and managing multiple priorities at once.

Nice To Haves

  • Previous experience in a CPA firm, accounting firm, tax office, professional services firm, project management, or administrative role is a plus but not required.

Responsibilities

  • Keep the CPA organized and on track with tasks, projects, client deliverables, and deadlines
  • Track tax return progress and follow up on outstanding items
  • Coordinate workflow during tax season and throughout the year
  • Help ensure projects move efficiently from start to completion
  • Identify upcoming deadlines and proactively follow up with the CPA, team members, and clients
  • Manage and maintain the firm's CRM
  • Keep client records, tasks, statuses, and deadlines accurate and up to date
  • Create and maintain efficient administrative workflows
  • Make sure client requests and internal tasks are properly documented and followed through to completion
  • Communicate professionally and promptly with clients by phone and email
  • Request missing documents and information from clients
  • Provide clients with status updates and next steps
  • Coordinate signatures and other required documentation
  • Help create an organized, responsive, and professional client experience
  • Manage and organize the CPA's email inbox
  • Identify and prioritize emails requiring attention or follow-up
  • Help ensure important client communications and requests are not missed
  • Coordinate the CPA's outstanding tasks and priorities
  • Prepare completed tax returns and related documents for client review and signature
  • Coordinate electronic signature requests and required authorizations
  • Ensure required documents are complete before returns move to the next stage
  • Maintain organized electronic client files and documentation
