About The Position

Under the direction of the Associate Director, People Operations, the Talent and People Ops Coordinator will help create a smooth, welcoming experience for candidates and new hires. This role will partner with hiring managers, recruiters, candidates, and members of the People team from initial screening through final-round interviews and preboarding. This is an excellent opportunity for someone who is passionate about making people feel welcomed, replacing interview process jitters with compassion and kindness. Requirements

  • Bachelor’s degree or equivalent work experience
  • 0–1 years of professional experience (internships, campus involvement, or relevant coursework welcome)
  • Strong organizational skills and comfort managing multiple calendars/priorities
  • Excellent written and verbal communication skills
  • High attention to detail and reliable follow-through
  • A genuine service mindset — you like helping people have a good experience
  • Comfortable learning new tools quickly (ATS, HRIS, scheduling software)
  • Must have experience calendaring interviews and/or meetings at a high volume and using Microsoft applications or similar platforms.
  • Demonstrated success in addressing last minute schedule conflicts, while maintaining a high level of customer service

Responsibilities

  • Coordinate interview scheduling across multiple roles, aligning calendars between candidates, hiring managers, and interview panels
  • Serve as a point of contact for candidates during the interview process, ensuring timely, friendly communication, including meeting and greeting candidates upon arrival in office
  • Order lunch for candidates and interviewers as needed
  • Manage travel for non-local candidates
  • Flag and help resolve scheduling conflicts
  • Prepare interview agendas, candidate communications, and interview materials; distribute not interview panels
  • Support the candidate experience from offer acceptance through first day
  • Help set up first day for new hires in partnership with People Operations Specialist
  • Coordinate pre-boarding logistics: paperwork, background checks, equipment setup, account provisioning, welcome communications (including delivering first day swag)
  • Coordinate first week onboarding sessions
  • Help deliver a warm first-day/first-week experience for new hires
  • Support collection of onboarding feedback and set up of new member mix and mingle events.
  • Coordinate and schedule employee events, including Group Onboarding sessions 2x/yr, in partnership with the Culture Experience program manager
  • Support People team with schedule and coordination of logistics for trainings and team meetings (external and internal workshops, etc.)
  • Administratively support job description updates in systems and ensure proper archival.
  • Manage shared scheduling mailbox and calendar
  • Schedule 6 month check in for SVP, People and new hires
  • Help answer routine employee questions and route requests appropriately
  • Partner with the People Ops Specialist to maintain and update internal People resources (Builder’s Central FAQs, upload annual holiday schedule and payroll calendars)
  • Maintain company org chart
  • Update the necessary partners on job-related changes that impact systems and access, including manager changes and terminations
  • Act as backup support to the People Ops Specialist with Paycor administration, compliance, and related system maintenance.
  • Support employee lunch service administration (Fooda) including setting up new employees, removing terminated employees, and updating daily restaurant displays
  • Add company meetings, events, and holidays to new hire calendars.
  • Track list of current temporary employees
  • Help coordinate and support company events, team celebrations, and engagement activities in partnership with the Culture and Philanthropy Program Manager.
  • Step in to support Front Office reception in absence of Office manager.
  • Raise hand for projects that support their development and provide exposure to other areas of the People team.
  • May support off-site coordination in partnership with other EAs

Benefits

  • Pay rate: $38/hr on a W2 basis
