We’re looking for a Talent Operations Coordinator in the Rockford, IL area who thrives on creating structure, improving processes, and ensuring our team operates efficiently at scale. In this role, you’ll be a key partner to Talent Acquisition and broader HR—supporting systems, data, and recruiting operations that enable us to attract, hire, and support top talent across the firm. Requirements

  • 3+ years of experience in HR operations, recruiting coordination, or administrative support in a fast-paced environment
  • High School diploma, or equivalent
  • Strong attention to detail and ability to manage multiple priorities at once
  • Experience with HR systems, applicant tracking systems (ATS), or databases
  • Comfort working with data, reporting, and Excel
  • A proactive, solutions-oriented mindset—you look for ways to improve how work gets done
  • Strong communication and relationship-building skills

Responsibilities

  • Maintain and optimize our HR systems (HRIS and related tools), ensuring accuracy, data integrity, and seamless workflows
  • Support onboarding, employee changes, and organizational updates to ensure clean data and strong reporting
  • Identify process improvements and help implement scalable solutions across the Talent function
  • Create and maintain SOPs, guides, and resources that improve consistency and team efficiency
  • Coordinate interview scheduling across candidates, hiring managers, and interview teams—delivering a seamless candidate experience
  • Partner with recruiters to support sourcing initiatives, pipeline activity, and candidate communications
  • Assist in managing requisition workflows and ensuring timely movement through the hiring process
  • Help maintain recruiting systems and data accuracy, ensuring visibility into hiring progress
  • Track and maintain key Talent metrics and dashboards
  • Generate and distribute reports that support hiring decisions, workforce planning, and leadership insights
  • Serve as a resource for ad hoc data requests and reporting needs
  • Support surveys and data analysis related to engagement, compensation, and benefits
  • Ensure timely and accurate processing of employee lifecycle activities (hires, transfers, promotions, compensation changes, etc.)
  • Partner with Talent Advisors, leaders, and cross-functional teams to keep employee data current and aligned
  • Assist with processes tied to performance cycles, goals, and merit increases
  • Collaborate with Talent Advisors, recruiters, hiring managers, and operations teams to keep processes moving
  • Provide support and troubleshooting to internal users of Talent systems
  • Act as a go-to resource for process clarity, data accuracy, and operational questions
