About The Position

Airlock Digital is seeking an exceptional Talent Acquisition Coordinator to be the operational backbone of their recruiting function. This role goes beyond coordination, serving as a Greenhouse expert responsible for reporting, driving process rigor, and enabling both TA and hiring leaders to operate more effectively. The coordinator will be a critical partner to recruiters, hiring managers, and candidates, ensuring the hiring process runs with precision, speed, and care. This is a high-ownership role for someone who thrives in fast-paced environments, takes pride in flawless execution, and understands that candidate experience is a direct reflection of the brand. The individual will be the connective tissue of the TA team, keeping pipelines moving, data clean, systems optimized, and stakeholders informed.

Requirements

  • 2-3+ years of experience in recruiting coordination, TA operations, or similar role in a high-growth environment.
  • Strong expertise in Greenhouse (ATS) including: Scheduling workflows, Pipeline management, Custom reporting and dashboards, Data integrity best practices.
  • Experience building reports and using data to drive insights and decisions.
  • Proven ability to manage high volume and competing priorities with speed and accuracy.
  • Experience training or enabling stakeholders (recruiters, hiring managers, or teams) on tools and processes.
  • Excellent written and verbal communication skills across all levels, including senior stakeholders.
  • Highly organized with exceptional attention to detail and strong judgment with confidential information.
  • Comfortable working in a fast-paced, evolving environment with ambiguity.
  • Proactive, resourceful, and solutions-oriented mindset.

Responsibilities

  • Serve as the Greenhouse (ATS) expert across the organization.
  • Build and maintain custom reports and dashboards to provide insights into pipeline health, hiring velocity, and recruiter performance.
  • Ensure data integrity and accuracy at scale—clean data is non-negotiable.
  • Optimize workflows, templates, and system configurations to improve efficiency and consistency.
  • Partner with leadership to deliver reporting that supports data-driven hiring decisions.
  • Train recruiters and hiring managers on Greenhouse best practices, workflows, and interview processes.
  • Create documentation and scalable resources to improve adoption and consistency.
  • Act as the go-to resource for system questions, troubleshooting, and process guidance.
  • Support end-to-end interview coordination, managing complex scheduling across time zones and functions.
  • Serve as the primary point of contact for candidates, delivering a white-glove, high-touch experience.
  • Ensure every interaction is clear, timely, and reflective of company standards.
  • Proactively anticipate and resolve scheduling conflicts and logistical challenges.
  • Manage candidate flow and pipeline movement within Greenhouse with real-time updates and precision.
  • Partner with recruiters and hiring managers to ensure feedback is captured promptly and processes move forward efficiently.
  • Identify bottlenecks, flag gaps, and continuously improve workflows and processes.
  • Support broader TA operations, projects, and initiatives as needed.
