About The Position

The Department of Surgery at Macon & Joan Brock Virginia Health Sciences at Old Dominion University is seeking a Surgical Scheduling Clerk to join the team. This role involves greeting patients and visitors, scheduling various appointments and procedures for 14 physicians, managing a multi-line phone system, assisting patients with check-in/check-out processes, ensuring accurate insurance and personal information, coordinating with administrative staff regarding physician schedules, obtaining pre-authorizations, confirming insurance eligibility, and acting as a liaison between patients, physicians, hospitals, business offices, and insurance companies for surgical appointment scheduling.

Nice To Haves

  • High school diploma.
  • Previous experience in surgical scheduling preferred.
  • One (1) year of medical office experience.

Responsibilities

  • Schedule all surgery appointments for 14 surgeons, 2 nurse practitioners, and 2 physician assistants.
  • Assist patients with checking in and out for their office appointment. Update personal and insurance information in charts.
  • Answer multi-phone line, assist caller appropriately.
  • Check all patient charts before appointment to include informing patients of any previous balances that may be due at the time of service.
  • Scan and organize hard copy medical record documents into patient’s EMR.
  • Receive internal/external patient referrals, schedule appointments and follow up with referring provider through Allscripts.
  • Accept patient payment for co-pay’s, past due balances, supplies and procedures. Ensure accuracy of batch and prepare deposit.
  • Communicate to patients all appointments that have been scheduled, making sure patient is aware of everything needed for appointments.
  • Verify patient’s insurance. Obtain insurance referrals and authorizations when required.
  • Send task messages to appropriate personnel as necessary.
