About The Position

Albany Medical Center is seeking a Surgical Scheduler for its Urology office. This full-time position (40 hours/week) operates Monday through Friday, 8:00 AM to 4:30 PM. The ideal candidate will be adept at multitasking in a fast-paced environment, working both independently and as part of a team. Responsibilities include efficiently and accurately utilizing scheduling systems, managing physician clinical schedules, and coordinating surgical schedules. This role requires excellent customer service skills, the ability to learn and utilize resources, strong time management, good judgment, problem-solving skills, and a strong work ethic.

Requirements

  • High School Diploma/G.E.D. - required

Nice To Haves

  • 2-3 years office experience or one year of related experience in a medical practice - preferred
  • Experience using an electronic health record and Microsoft Office a plus.

Responsibilities

  • Greet patients in a prompt, courteous, and professional manner.
  • Initiate the surgical booking process as instructed by the physician via flow sheet or surgical task.
  • Compile surgical packets for booking, which may include a booking sheet, checklist, pre-op orders, consent form, pre-admission form, and prior authorization. Packet contents may vary based on physician preference, patient age, and surgery location.
  • Ensure consents are complete in coordination with the surgeon.
  • Obtain release of information to complete disability/FMLA paperwork and "Out of Work/School" notes, working with nursing staff for any questions or concerns.
  • Provide proper consents for patients who are wards of the state by working with facilities to obtain proper consents from patient proxies.
  • Schedule pre-surgical appointments for patients requiring clearance and ensure clearances are sent to the appropriate places.
  • Interact with a diverse patient population.
  • Communicate in a timely manner with all parties, including the surgeon, patient, OR, and insurance company, to confirm the date of surgery and ensure all appropriate surgical clearances are obtained.
  • Coordinate OR time/date with equipment representatives, if needed.
