The Scheduler coordinates patient appointments, verifies insurance, and ensures accurate scheduling to support efficient clinical operations. Requirements

  • High school diploma or equivalent required; three years of directly related experience may be considered in lieu of education.
  • Prior scheduling experience in a healthcare environment strongly preferred.
  • Knowledge of medical terminology, insurance verification, and billing processes preferred.
  • Strong computer proficiency, including experience with scheduling or electronic health record (EHR) systems.
  • Excellent organizational and time management skills, with the ability to prioritize in a fast-paced environment.
  • Strong communication, customer service, and problem-solving skills.
  • Detail-oriented with the ability to work independently, exercise sound judgment, and maintain accuracy under pressure.

Responsibilities

  • Coordinate patient scheduling for testing, procedures, and admissions, ensuring alignment with provider availability, facility capacity, and clinical priorities.
  • Verify and obtain insurance authorizations and pre-certifications, accurately documenting approval details within scheduling and registration systems.
  • Collect and maintain precise patient insurance and demographic information to support efficient registration and billing accuracy.
  • Serve as a primary point of contact for incoming calls, providing timely and professional assistance to patients, providers, and internal staff.
  • Communicate scheduling requirements, special instructions, and preparation details to patients and physician offices to ensure readiness for services.
  • Identify and address insurance network issues or benefit limitations, notifying patients and provider offices of any potential coverage concerns.
  • Review and manage daily scheduling reports to confirm staff, equipment, and time availability for all scheduled services.
