About The Position

The Surgical Scheduler II is responsible for scheduling procedures for various departments including the Operating Rooms (OR), Surgi centers, G.I Lab, and Heart and Vascular Interventional Services (HVIS) on Christiana and Wilmington Campuses. This role collaborates with physician's offices using multiple platforms to ensure the availability and proper utilization of resources such as time, equipment, and personnel. The position requires analyzing automated scheduling grids, selecting correct preference lists for instrumentation and supplies, and identifying conflicts with case requirements. The Surgical Scheduler II works with leadership to resolve scheduling conflicts, addresses special requests, and processes urgent case requests by collaborating with OR leadership and Anesthesia. Competency in various software systems including SurgiNet, OR intelligence, and Excel spreadsheets is essential for accurate patient data capture and transmission. The role also involves verifying patient demographic and insurance details, laterality, special needs, equipment, staff, and room turnover times to ensure optimal safety and flow for patient care.

Requirements

  • High School graduate or equivalent required.
  • Three years clerical experience required.
  • An equivalent combination of education and experience may be substituted.

Responsibilities

  • Schedules procedures for various departments (Operating Rooms [OR], Surgi centers, G.I Lab and [Heart and Vascular Interventional Services] HVIS.) on Christiana and Wilmington Campuses.
  • Collaborates with Physician's office staff for dates and times to accommodate their requests for scheduling procedures.
  • Analyzes automated scheduling grid to determine availability of requested date and time, differentiating between block and non-block designations.
  • Selects correct Preference List from Surgeon's File Listing that will request and reserve accurate instrumentation, supplies, and equipment for each scheduled case.
  • Identifies conflict associated with case requirements utilizing a proficient knowledge of basic OR equipment/instrumentation.
  • Collaborates with Scheduling Supervisor/Assistant Nurse Manager to resolve time conflicts, contacting Surgeon's offices requesting time changes or adjustments in case schedules.
  • Works with Physician's office staff and leadership of the designated OR in addressing and scheduling special requests for specific dates and times or requests to start earlier or later than originally scheduled.
  • Utilizes knowledge of surgical diagnoses and collaborates with OR leadership and Anesthesia to process scheduling of urgent case requests.
  • Demonstrates competency using SurgiNet software to capture patient information and complete designated fields for accurate transmission and use by Admitting, Bed Control and PEP Departments.
  • Demonstrates competency using OR intelligence, OR scheduling platform que, excel spreadsheets for CSO consults, Soarian and Twistle.
  • Collaborates with the PEP Staff in updating patient data in SurgiNet system.
  • Responsible for accuracy in scheduling surgeries and procedures to allow optimal safety and flow for the lives within our care through day of surgery, to include: verifying patient demographic and insurance details, laterality, special patient needs, equipment and resources needed, staff and time for turnover of the room and correct site for the procedure to safely occur.
  • Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
