About The Position

The Surgical Coordinator is responsible for serving as the patient's primary point of contact with the practice. This role maintains open communication to keep patients engaged and ensures an efficient patient flow through the surgical pathway. This includes managing patient registration, insurance verification, initial contact, surgeon consultations, and ensuring all necessary insurance and program criteria, along with medical clearances, are met for submission to insurance providers for surgical approval. The coordinator will support patients throughout their care process and promote the vision, mission, and strategic plans of Methodist Health System.

Requirements

  • High School Diploma and/or GED equivalent
  • Very strong proficiency using Microsoft Office products
  • Superior oral and written communication skills

  • Review patient registration to ensure completeness.
  • Verify all insurance information and document it in the Practice Management System/EMR.
  • Maintain current knowledge of surgery criteria with insurance providers and inform staff of any changes.
  • Initiate patients into the surgery pipeline, act as a patient advocate, and schedule initial consultations with the surgeon.
  • Communicate insurance benefits, deductibles, coinsurance, financial responsibilities, and any additional medical testing/screening requirements to patients.
  • Secure Pre-determinations & Pre-Certifications for all procedures.
  • Handle physician referrals to the practice, ensuring doctor's information is in the practice management system/EMR.
  • Acknowledge referrals and notify relevant parties that the patient is verified, assigned, contacted, and initiated into the surgery process.
  • Prepare and submit Letters of Medical Necessity, ensuring all insurance criteria and medical clearances are completed.
  • Upon insurance approval, communicate the approval to the patient, collect financial fees, schedule pre-op consultations, advise the patient of the surgery date, and schedule the 1-week post-op appointment.
  • Handle all appeals and denials in conjunction with the patient's care.
  • Participate in patient education seminars or 'meet the doctor' events, educating interested parties about the surgery program.
  • Prepare the physical space for seminars/events.
  • Assist other staff members to deliver the highest quality of patient care, acting as a team player to execute duties as needed by the practice.
