The Surgical Coordinator plays a vital role in the patient care process by coordinating the entire surgery scheduling process, including cost estimates, insurance verification, scheduling, and patient treatment retention. Responsibilities

  • Discussing estimated patient responsibility and procedure costs with patients via telephone, based on insurance benefit verification and payment options.
  • Assessing and tracking patient hesitancy for scheduling or cancellations, utilizing consultative selling skills to retain and obtain appointments.
  • Receiving and processing procedure order forms from internal providers via the EMR system.
  • Verifying patient insurance benefits and calculating patient cost estimates.
  • Communicating with insurance carriers using appropriate CPT and diagnosis codes.
  • Obtaining prior authorizations from insurance carriers and relaying this information (or denials) to the patient, documenting it in the EMR and spreadsheets.
  • Calculating procedure cost estimates using appropriate fee schedules.
  • Collecting surgical out-of-pocket cost estimates and setting up payment plans.
  • Maintaining professional communication with providers and anesthesia groups.
  • Resolving pre-authorization, registration, or other referral-related issues before a patient's appointment.
  • Communicating surgical information, preparation details, procedure dates, arrival times, and pre/post-op directions to patients.
  • Demonstrating understanding of patient confidentiality and following HIPAA guidelines.
  • Following policies and procedures to contribute to the efficiency of surgery scheduling.
  • Assisting the Accounts Receivable team with resolving rejected, incorrectly paid, or denied claims.
  • Working to collect payment on outstanding procedure balances.
  • Organizing and maintaining patient files.
