The Surgical Coordination Manager provides operational leadership for the surgical coordination function and oversees the surgical patient journey from initial surgical consultation through scheduling, pre-operative preparation, procedure day, and post-operative follow-up. This role ensures surgical cases are organized, appropriately prepared, financially and operationally sound, and delivered with the highest standards of patient experience, safety, efficiency, and compliance. The Surgical Coordination Manager serves as a key liaison between surgeons, patients, Patient Care Coordinators, medical assistants, surgical team members, anesthesia providers, and leadership. This role is responsible for promoting efficient workflows, supporting team accountability, anticipating and resolving operational barriers, and ensuring the surgical coordination team delivers a consistent, high-quality experience for patients and providers. This position requires exceptional organization, communication, leadership, attention to detail, and the ability to manage multiple priorities in a fast-paced surgical environment.

Requirements

  • Minimum of 3 years of experience in surgical coordination, surgical scheduling, ambulatory surgery, plastic surgery, aesthetics, or a related healthcare environment.
  • Previous leadership, supervisory, or management experience.
  • Strong understanding of surgical scheduling and pre-operative processes.
  • Excellent organizational and time-management skills.
  • Exceptional verbal and written communication skills.
  • Strong problem-solving and critical-thinking abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High level of attention to detail and follow-through.
  • Proficiency with electronic medical records and standard office technology.

Responsibilities

  • Manage and coordinate surgical cases across surgeons, operating rooms, anesthesia, and surgical teams.
  • Maintain accurate and efficient surgical schedules while optimizing operating room utilization.
  • Ensure each case is appropriately scheduled based on procedure type, surgeon requirements, equipment, staffing, anesthesia needs, and facility availability.
  • Coordinate surgical case additions, changes, cancellations, and rescheduling in a timely and organized manner.
  • Routinely review upcoming surgical schedules to identify potential conflicts, missing information, equipment needs, or other barriers to successful case completion.
  • Coordinate special equipment, implants, instruments, supplies, vendors, and other case-specific requirements.
  • Ensure surgical preference cards and case requirements are current and effectively communicated to the appropriate team members.
  • Serve as a primary point of contact for surgical patients throughout the coordination process.
  • Ensure patients receive timely and accurate information regarding surgical preparation, required testing, medications, arrival times, transportation, recovery expectations, and post-operative instructions.
  • Coordinate pre-operative appointments, medical clearances, laboratory testing, imaging, anesthesia requirements, and other necessary documentation.
  • Monitor patient readiness and proactively address outstanding requirements.
  • Maintain a high-touch, concierge-level patient experience throughout the surgical journey.
  • Communicate professionally, compassionately, and promptly with patients regarding scheduling changes, delays, cancellations, and other concerns.
  • Identify patient questions or concerns requiring clinical review and ensure they are promptly escalated to the appropriate licensed clinical team member as appropriate.
  • Conduct regular reviews of upcoming cases to ensure patients and surgical teams are appropriately prepared for surgery.
  • Verify completion of required consents, medical history, photographs, labs, clearances, financial requirements, and other necessary documentation.
  • Ensure patient charts are complete, accurate, and appropriately prepared prior to the day of surgery.
  • Coordinate with anesthesia providers regarding required documentation, patient-specific considerations, and outstanding readiness items.
  • Identify cases requiring additional clinical, operational, or administrative review and escalate appropriately.
  • Partner with surgical team to confirm necessary equipment, supplies, medications, documentation, and other case-specific needs are available before each procedure.
  • Provide operational oversight and coordination of the surgical schedule.
  • Facilitate timely communication between surgeons, surgical team, anesthesia providers, patients, and administrative personnel.
  • Monitor case flow, room turnover, delays, and schedule changes.
  • Troubleshoot operational issues in real time and escalate clinical, safety, staffing, or compliance concerns appropriately.
  • Support a safe, organized, professional, and patient-centered surgical environment.
  • Identify opportunities to minimize avoidable delays and support efficient operating room utilization.
  • Ensure appropriate handoffs and communication occur when schedule or patient-status changes impact the surgical team.
  • Ensure patients receive appropriate post-operative instructions and follow-up scheduling in coordination with the clinical team.
  • Coordinate post-operative appointments and communication with the appropriate clinical team members.
  • Identify patient concerns and ensure they are appropriately communicated, addressed, and/or escalated appropriately to leadership or licensed provider.
  • Support continuity of care between the surgical team and the broader Azul patient-care team.
  • Ensure appropriate documentation and operational follow-up are completed following surgical procedures.
  • Provide day-to-day leadership, direction, coaching, and support to surgical coordinators and support team members.
  • Establish clear expectations for surgical coordination processes, communication and accountability.
  • Support onboarding, training, and ongoing development of team members.
  • Promote a culture of teamwork, professionalism, communication, accountability and patient-centered care.
  • Collaborate closely with surgeons, surgical leadership, and cross-functional partners to improve workflows, patient experience, and operational outcomes.
  • Participate in surgical team meetings, leadership meetings, and operational planning.
  • Identify staffing, scheduling, training, and resource needs as surgical volume and business needs evolve.
  • Partner with leadership as appropriate regarding performance management, attendance, conduct, and employee relations matters.
  • Ensure surgical coordination processes align with applicable facility policies, accreditation standards, regulatory requirements, and organizational protocols.
  • Maintain strict compliance with patient privacy and confidentiality requirements.
  • Monitor documentation and operational processes for accuracy, completeness, and compliance.
  • Participate in quality improvement initiatives, audits, and corrective action plans, and process-improvement efforts.
  • Promptly escalate safety, compliance, patient-care, operational, or regulatory concerns to leadership and/or clinical team as appropriate.
  • Support ongoing readiness for accreditation and regulatory inspections.
  • Monitor surgical scheduling efficiency, cancellations, operational room utilization, case readiness, and other relevant operational metrics.
  • Partner with leadership and finance to identify opportunities to improve operational efficiency and financial performance, support implementation and follow-through of initiatives.
  • Support processes that ensure required surgical deposits, payments, and other financial requirements are completed prior to scheduling or proceeding with cases, in accordance with company policy.
  • Identify workflow inefficiencies and recommend process improvements.
  • Promote responsible utilization of surgical supplies, equipment, staffing, and other resources.
  • Monitor trends impacting cancellations, delays, patient experience, staffing, utilization, or revenue and communicate opportunities for improvement to leadership.
