In this full time role, you’ll report to the Director of Non-Clinical Support Staff. Position Summary We are seeking a highly organized and emotionally intelligent Surgery Scheduling Coordinator to join our team. In this role, you will be responsible for managing all aspects of the surgical scheduling process at both onsite and offsite facilities. This position requires strong attention to detail, clear communication, and a patient-first mindset.

Requirements

  • Associate’s or Bachelor’s degree preferred
  • 3–5 years of experience in healthcare scheduling, medical office administration, or high-touch customer service
  • Experience in EMR systems (Nextech preferred) and Microsoft Office Suite
  • Familiarity with medical terminology, privacy practices (HIPAA), and surgical scheduling is a plus
  • Highly dependable and detail-oriented
  • Exceptional verbal and written communication skills
  • Strong emotional intelligence and professionalism
  • Ability to multitask in a fast-paced environment

  • Comfortable discussing financing and payment options with patients

Responsibilities

  • Accurately schedule surgical procedures using EMR and CaseTabs systems
  • Serve as the main point of contact for patients ready to schedule surgery (phone, voicemail, text, and chat)
  • Provide education and reassurance to patients regarding surgical procedures
  • Collect and document surgical deposits (10% prior to scheduling, full balance 3 weeks prior to surgery)
  • Send pre-operative surgery packets and ensure all patient documentation is completed
  • Verify OR availability and coordinate surgery times with offsite facilities
  • Maintain and utilize cancellation list to backfill openings in the surgery schedule
  • Monitor and respond to WEAVE messages, team chats, and incoming calls promptly
  • Collaborate with surgeons and other departments to optimize scheduling and coverage
  • Support practice initiatives and workflow improvements as needed
