About The Position

The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures while providing excellent service to patients, physicians, and clinical staff. This position serves as an important point of coordination between surgeons' offices, patients, anesthesia providers, and the surgical center to ensure that procedures are scheduled accurately and efficiently. The Surgery Scheduler will coordinate surgical cases from initial scheduling through the day of surgery, ensuring that all required information, documentation, authorizations, and scheduling requirements are completed in a timely manner. The position requires strong organizational skills, attention to detail, effective communication, and the ability to prioritize multiple cases and deadlines.

Requirements

  • High school diploma or equivalent required.
  • Strong computer and electronic medical record skills.
  • Excellent organizational and time-management skills.
  • Ability to prioritize and organize workload while managing multiple surgical cases and deadlines.
  • Strong attention to detail and accuracy.
  • Strong communication skills, verbal and written.
  • Ability to work effectively with physicians, patients, families, and multidisciplinary healthcare teams.
  • Ability to maintain confidentiality and handle sensitive patient information professionally.

Nice To Haves

  • Previous experience in healthcare scheduling, surgical scheduling, physician office operations, or a related healthcare environment preferred.
  • Experience with ambulatory surgery, hospital, or physician practice scheduling preferred.
  • Knowledge of medical terminology and surgical procedures preferred.
  • Familiarity with insurance verification, referrals, and prior authorizations preferred.

Responsibilities

  • Schedule surgical procedures in accordance with physician, patient, facility, and operating room availability.
  • Coordinate surgery dates and times with physicians' offices, patients, anesthesia providers, and surgical center staff.
  • Obtain and verify accurate patient demographic, insurance, and surgical information.
  • Coordinate required pre-operative testing, medical clearance, and other documentation as appropriate.
  • Verify insurance benefits and assist with obtaining required authorizations and referrals.
  • Ensure surgical cases are entered accurately into the scheduling system.
  • Review surgical orders and case information for completeness and accuracy.
  • Communicate pre-operative instructions and required appointments to patients and physician offices.
  • Coordinate changes, cancellations, and rescheduling of surgical procedures.
  • Maintain accurate and timely documentation in the electronic medical record and scheduling systems.
  • Communicate effectively with surgeons, physician office staff, nurses, anesthesia personnel, and other members of the surgical team.
  • Assist with maintaining accurate operating room schedules and identifying scheduling conflicts.
  • Follow established policies and procedures related to patient privacy, safety, scheduling, and regulatory requirements.
  • Provide professional, compassionate, and service-oriented communication with patients and families.
  • Protect patient confidentiality and comply with HIPAA and applicable regulatory standards.
  • Support the center's commitment to efficient, high-quality ambulatory surgical care.
