About The Position

The Surgery Scheduler, similar to a Receptionist, will greet patients and visitors, respond to their needs, collect patient demographic and insurance information for the billing system, schedule patient appointments, answer telephones, and distribute messages. The primary responsibility will be coordinating surgical appointments on behalf of patients with several surgery facilities, working closely with a Surgeon and their office staff. This role involves managing patient check-ins, updating demographic information, collecting co-pays, confirming patient eligibility, handling phone calls, ensuring accurate daily bank deposits, balancing cash drawers, maintaining front office orderliness, and rescheduling appointments as needed due to physician schedule changes. The position also requires restocking office supplies and performing other duties as assigned, while adhering to Palomar Health Medical Group's rules, policies, procedures, and mission.

Requirements

  • Ability to speak and read English at a level that is sufficient to satisfactorily perform the essential functions of the position.
  • Knowledge of standard office equipment (i.e., calculator, fax, photocopier) and personal computer and computer software skills (i.e., MS Windows, Excel, Access, Word, PowerPoint, internet, e-mail).
  • Windows computer skills including proficient use of keyboarding, use of mouse or keys for functions such as selecting items, use of drop-down menus, scroll bars, opening folders, copying and similar operations required upon employment or within the 1st two weeks of employment to perform the essential functions of the job.
  • Minimum Education: High School or equivalent
  • Minimum Experience: 0-6 months related experience

Responsibilities

  • Greet patients and visitors in a respectful, pleasant manner, using eye contact immediately upon entering center.
  • Check patients in and create visits in the computer system.
  • Distribute and verify patient demographics and update into system.
  • Collect appropriate co-pays and ensure co-pay is documented on super bill.
  • Schedule follow-up appointments as needed.
  • Confirm eligibility for scheduled patients about 1 day prior.
  • Handle all incoming telephone calls and exercise judgment as to the urgency or other nature of the calls and direct them to appropriate personnel.
  • Assure accurate bank deposit completion daily.
  • Make sure that the cash drawers are balanced at the end of the day.
  • Keep the front office neat and orderly.
  • Coordinate surgical appointments on behalf of patients with several surgery facilities.
  • Restock front office as needed (e.g., forms, office supplies).
  • Reschedule patients when any change in physician schedule occurs.
  • Perform other duties as assigned.
