About The Position

The Surgery Coordinator manages patient check-in and pre-operative intake for the high volume ophthalmology surgery center, ensuring an efficient, accurate, and patient-focused experience. This role supports both administrative and basic clinical functions to keep the surgical schedule on track and minimize delays.

Requirements

  • Experience as a Surgery Coordinator, preferably for an ophthalmology physician with strong organizational and interpersonal skills preferred
  • Experience with EMR software (with Ophthalmology specific software preferred).
  • Experience with patient customer service. Familiar with obtaining authorizations and referrals.
  • Ability to work with Excel, Word, and medical software.
  • Excellent oral/written communication and analytical skills.
  • Must have the ability to travel to all our locations as needed.
  • Ability to multi-task efficiently and effectively.
  • Must be able to act calmly and effectively in a busy or stressful situation.
  • Requires adherence to all policies and procedures, including standards for safety, attendance, punctuality, and personal appearance.
  • Must be highly flexible; able to accommodate changing needs of the office. Knowledge and adherence to HIPAA, COMPLIANCE, OSHA.
  • Ability to work well under pressure with minimal supervision. Skill in exercising initiative, judgment, discretion and decision-making to achieve practice objectives.

Responsibilities

  • Check in surgical patients and verify identity, procedure, and documentation
  • Review insurance requirements, confirm authorizations, and collect patient payments
  • Complete and review pre-operative paperwork and consents
  • Obtain and document vital signs, intraocular pressure and blood glucose as needed
  • Provide clear pre-operative and discharge instructions
  • Schedule and reschedule surgical appointments as needed
  • Prepare and organize charts and all required documentation for upcoming surgery days, ensuring completeness and preventing delays
  • Maintain accurate patient records in the system
  • Communicate with clinical staff to ensure patient readiness and address issues
  • Support daily operations to ensure efficient patient flow and on-time surgery starts
  • Coordinate processes and route all paperwork as required to meet physician and facility requirements. Provides accurate, thorough, and complete documentation of all information pertinent to patient treatment.
  • Knowledgeable regarding co-management with referring providers and ensures compliance with the scheduling of post-operative visits. Communicates with referring providers as needed.
  • Communicates with assigned physician and surgery center staff to ensure all special supplies are received prior to the surgical date and informs ASC of any add on patients. Reschedules appointments as needed.
  • Helps with other ancillary tasks including but not limited to following up with patients that no-show or cancel surgical appointments, sending H&P orders and consents to outside hospitals, update surgical scheduler protocol handbook, training sessions with our physicians, etc.
