About The Position

The Salvation Army is seeking a Support Services Supervisor to maintain a safe, sustainable, and dignified environment for clients and staff. This role involves supervising property, IT, facility, and front desk functions, ensuring compliance with all funder, legislative, and organizational requirements. The position is based in Kingston Harbour Light (KHL) and requires participation in the KHL Management Team.

Requirements

  • Minimum undergraduate degree from a recognized institution (alternative combinations of education and experience may be considered).
  • Five years of prior related experience, including supervisory experience.
  • Proficient in Microsoft office suite; computer literate.
  • Attention to detail, problem solving and analytical skills.
  • Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility.
  • Dedicated to customer service.
  • Maintain excellent working relationships with staff and residents, with a strong understanding of professional boundaries, and our responsibilities toward vulnerable persons.

  • Must provide a Protected B Clearance.

Responsibilities

  • Supervising the property, IT, facility, and front desk functions of the ministry unit.
  • Achieving and maintaining all funder, legislative, and organizational requirements for all areas within their scope.
  • Ensuring the maintenance of the facility, equipment, dietary services, and health and safety resources of Kingston Harbour Light in compliance with legal, funder, and The Salvation Army (TSA) standards.
  • Supporting the Operations Manager in initiating, maintaining, and promoting positive working relationships/partnerships and communications with community stakeholders; dealing with contracts and new proposals.
  • Providing leadership and supervision to Janitorial and Residential Care staff.
  • Hiring, orientating, training, evaluating, rewarding, disciplining, and terminating staff in consultation with the Operations Manager, ensuring compliance with KHL's Policies and Procedures as well as TSA Territorial policies.
  • Ensuring Correctional Services of Canada (CSC) compliance in the areas of dietary, documentation, IT, and health and safety.
  • Completing scheduling for Residential Care Workers, ensuring all shifts are covered and overseeing accurate recording of sick time, leave of absence, etc.
  • Ensuring quality and consistency of services provided by Residential Care Workers and adherence to policy and procedures for front desk operations.
  • Analyzing statistical and financial reports related to Maintenance, Preventative Maintenance and Repairs, Utility usage, Health and Safety, and Fire Safety for budgetary planning and reporting.
  • Ensuring client and staff safety in compliance with Health and Safety and Fire Safety standards.
  • Preparing, analyzing, submitting, and acting on incident reports; dealing with complaints effectively and in a timely manner.
  • Supervising and documenting fire drills according to policy.
  • Maintaining accurate and up-to-date files and reports, including retaining external contracts pertaining to maintenance, repair, utilities, water quality, food services, and health and safety.
  • Monitoring environmental services quality delivery with a focus on building maintenance, condition, and cleanliness.
  • Maintaining maintenance logs, coordinating scheduled maintenance procedures, and ensuring maintenance guidelines follow warranties and contracts.
  • Consulting with the Operations Manager about capital repairs or renovations.
  • Ensuring supplies are received, stored, and redistributed to the appropriate departments.
  • Ensuring the Policies and Procedures manual for the Facility Department is up to date and revised as necessary.
  • Coordinating duties of janitorial staff.
  • Acting as management lead of the health and safety committee.
  • Supervising the day-to-day operation of IT, telephone, and security systems.
  • Monitoring information technology delivery, including computers, network, communication systems, security systems, and printing.
  • Providing general setup of email, voicemail, and passcodes for staff, and troubleshooting IT, security, and communication technology issues.
  • Acting as the first contact for requests for security camera review and/or recording for internal or external authorities.
  • Sourcing providers for equipment and services in keeping with Salvation Army and funder requirements.
