About The Position

This position is within the School of Nursing & Allied Health at SOWELA, reporting to the Academic Affairs department. The Support Coordinator will be responsible for a wide range of administrative and clerical duties to ensure the smooth operation of the school, including student admissions support, record maintenance, communication, and logistical assistance for various programs and events.

Requirements

  • Associate degree
  • Three years of administrative / clerical experience
  • Knowledge of support services available to students and a commitment to encourage students to take advantage of those services.
  • Excellent organizational decision-making skills.

  • Ability to work independently with limited supervision.
  • Ability to develop rapport with students.
  • Maintain confidentiality of records and information (FERPA Compliance).
  • Proficiency in the use of standard office equipment and networked personal computers.
  • Proficiency in or ability to become proficient in a variety of software, including but not limited to Office 365 apps, Adobe, and other database systems.
  • Skilled at communicating clearly and effectively, both orally and written, at all levels.
  • Ability to perform basic mathematical computations.
  • Skilled at planning, organizing, and prioritizing job duties to meet deadlines.
  • Maintaining interpersonal professional working relationships at all levels – students, peers, and Executives.

Responsibilities

  • Maintain knowledge of general College policies and procedures, as well as the Division.
  • Provide information to students regarding the admissions process and application policies and procedures.
  • Respond to student inquiries and questions promptly, accurately, and professionally.
  • Develop and maintain working relationships with individuals, departments, and organizations on and off-campus, including secondary school officials.
  • Assist with student orientation and registration.
  • Maintain confidentiality of records and information (FERPA Compliance) for the School.
  • Maintain an electronic database for each class on admissions, drops, and re-entry dates.
  • Maintain files accurately, on paper and in software programs (e.g., Banner, Microsoft Office).
  • Maintain confidential information on all Nursing and Allied Health students.
  • Maintain a hard copy file for each student in accordance with institution and regulatory standards.
  • File documents and personal records of students and instructors.
  • Maintain an electronic and hard copy file on all students who meet admission criteria.
  • Contact students to obtain post-graduation or withdrawal data.
  • Enter job placement information into the online portal for programmatic accreditation.
  • Enter Industry Based Certifications (IBCs) for appropriate programs.
  • Type letters, memorandums, and other correspondence for the School.
  • Prepare and maintain schedules and documents.
  • Record and transcribe minutes for the School’s meetings.
  • Enter School of Nursing and Allied Health class schedule building into the online Banner system.
  • Review catalog and website for changes/updates and submit to the appropriate department.
  • Ensure textbook requests are uploaded to the online portal/bookstore.
  • Attend advising meetings with Enrollment Management and Student Advising with the Dean.
  • Assist with each program accreditation process.
  • Design and prepare flyers, forms, and other materials for departmental use.
  • Maintain a calendar, screen phone calls, proofread, edit, and type School of Nursing and Allied Health reports.
  • Create statistical databases in Microsoft Excel for record keeping and reporting.
  • Check and deliver mail for the School of Nursing and Allied Health.
  • Implement annual equipment inventory with Program Coordinators and maintain an inventory of equipment and supplies.
  • Prepare and maintain purchase requisitions for equipment and supplies for all campuses and secure appropriate signatures.
  • Follow up with Program Coordinators/Directors to ensure delivery of equipment and supplies, and contact the business office if items are missing or not received.
  • Assist in the development of various reports for different campuses and work with Program Coordinators.
  • Enter School of Nursing and Allied Health course syllabi in Simple Syllabus.
  • Contact vendors for quotes for equipment and supplies.
  • Schedule vendors and assist with the annual School of Nursing and Allied Health Career and Education Fair.
  • Submit maintenance/custodial/IT help requests as needed.
  • Review and submit changes/additions for the college catalog and student handbook.
  • Maintain an up-to-date list of clinical contracts and facilities and notify the Dean of upcoming expiration dates.
  • Prepare clinical contracts for all School of Nursing and Allied Health programs.
