About The Position

Manage and coordinate the strategic activities of the hospital’s Dock, Shipping/Receiving, and Warehouse functions. This role is responsible for the proactive implementation of Duke University Health System strategies to optimize staffing efficiency, ensure the timely intake of medical supplies, and maintain optimal inventory flow. The Manager oversees the "front door" of the hospital’s supply chain, ensuring vendor compliance, product quality, and cost-effective distribution.

Requirements

  • Technical Mastery: Deep knowledge of shipping, receiving, and warehouse safety protocols.
  • Systems Proficiency: Intermediate to advanced skills with SAP, MS Excel, and barcode/scanning technology.
  • Strategy: Ability to act as a change agent to solve operational gaps in the dock and warehouse lifecycle.
  • Negotiation: Exceptional skills in managing vendor relationships and resolving delivery disputes.
  • Customer Service: A proactive philosophy focused on meeting the needs of internal clinical customers through efficient intake and distribution.
  • Heavy Lifting: Ability to exert 20 to 50 lbs of force occasionally.
  • Manual Handling: Frequent reaching, lifting, stooping, and bending.
  • Cart & Equipment Management: Must be able to push/pull loaded supply carts and pallets requiring up to 100 lbs of exertional force daily.
  • Bachelor's degree in Business, Accounting, Finance, Healthcare, or a related field is preferred. (High School Diploma/GED required as minimum).
  • 5 years of experience in logistics, supply chain, or healthcare management.
  • At least 2 of those 5 years must be specifically in supply chain/logistics.
  • Valid State Driver's License required.

Responsibilities

  • Manage the day-to-day operations of Centralized Shipping and Receiving, the main hospital dock, and warehouse storage areas.
  • Oversee the intake, unloading, and staging of all incoming goods, ensuring accurate entry of Goods Receipts into the ERP system (SAP).
  • Implement and supervise programs for the proper handling of requisitions, storage of stock, and "Just in Time" (JIT) distribution workflows.
  • Conduct regular inspections of dock and warehouse facilities to ensure safety compliance, organized storage, and the uninterrupted flow of supplies to clinical departments.
  • Coordinate Courier functions and external logistics to ensure efficient transport between health system entities.
  • Direct and mentor a team of Supply Chain Associates and Team Leads, serving as a technical subject matter expert for receiving and warehouse functions.
  • Match associate schedules to departmental demand, utilizing metrics to ensure dock coverage during peak delivery windows.
  • Apportion workload equitably among staff to maintain high productivity and reduce departmental turnover.
  • Responsible for hiring, training, coaching, and providing corrective actions for assigned personnel.
  • Work collaboratively with supply chain leadership to develop and maintain service delivery standards, identifying opportunities for cost containment and supply expense reduction.
  • Serve as a resource to enhance revenue through optimal utilization of space and resources.
  • Ensure vendor service levels are met; monitor and resolve issues regarding damaged goods, shortages, or incorrect shipments.
