Available schedules include: 10:00 AM – 6:30 PM 12:00 PM – 8:30 PM 2:00 PM – 10:30 PM Must be flexible to work weekends as needed Position Overview Perform critical daily operations focused on the shipping and receiving of hospital merchandise, computerized order entry, and the distribution of supplies and equipment. The ideal candidate will maintain rigorous inventory management processes on the loading dock and in the stockroom, ensuring accurate receipt of goods, prompt delivery to purchasers, and the seamless processing of outbound shipments.

Requirements

  • High School Diploma or G.E.D. required.
  • At least one (1) year of work experience, strongly preferring a background in shipping, receiving, loading dock operations, warehousing, or logistics. Experience in a fast-paced customer service environment is highly valued. (Level 1)
  • At least two (2) years of work experience in the disciplines listed above, along with competency in inventory management and demonstrated experience using an ERP system. (Level 2)
  • A valid Driver's License may be required based on the need to transport goods to off-site facilities.

  • Some college-level coursework is preferred, but not required.

Responsibilities

  • Accept and sign for daily deliveries from distributors and vendors at the loading dock.
  • Inspect incoming shipments for accuracy and damage, enter Goods Receipts into SAP, and file all packing slips.
  • Immediately report any identified shipment discrepancies to onsite Supply Chain management.
  • Transport shipments from the loading dock to the stockroom and ensure prompt delivery of packages to the appropriate purchasers.
  • Prepare, package, and ship out Vendor Returns, ensuring proper rotation of stock in all areas.
  • Deliver non-supply items (e.g., medical gas, linen) in a timely manner when specified.
  • Move and accurately stock received supplies to appropriate shelving locations once the receiving process is complete.
  • Use Supply Chain technologies (Pyxis and SAP) to precisely document the movement of goods.
  • Perform regular cycle counts and participate in mid-year and year-end inventory counts to ensure accurate stock levels.
  • Check expiration dates on supplies regularly; document and discard expired products.
  • Ensure all STAT orders are completed according to specified Service Level Agreements (SLAs).
  • Demonstrate excellent customer service when interacting with end-users and purchasers regarding shipment statuses.
  • Ensure the loading dock, stockrooms, and all Supply Chain work areas are clean, safe, and organized.
  • Proactively provide recommendations on operational efficiency improvements to management.
  • Serve as the Subject Matter Expert (SME) for the TIMS module, specifically regarding receiving and documentation workflows.
  • Effectively utilize the ERP system (SAP) to close out daily transactions, pull reports, and track difficult-to-find products.
  • Access and utilize Vendormate for vendor management.
  • Work directly with hospital departments and customers to help reconcile invoices and correct receiving errors.
  • Pull EPIC and Pyxis reports, analyze supply data, and provide actionable recommendations to leadership.
  • Participate in PERT, OR EDIT, and Value Analysis Team (VAT) discussions as assigned.
  • Act as a mentor and preceptor to all Level 1 Supply Chain Associates; act as the back-up Team Lead when necessary.
  • Work independently to complete all assigned tasks with minimal supervision from the Team Lead and Manager.
  • Deliver, manage, and coordinate the shipment of supplies and products to off-site clinics and Duke facilities.
  • Oversee consignment inventory processes and assist in annual inventory preparations.
  • Troubleshoot critical supply shortage or backorder issues and clearly articulate the operational impact to clinical teams.
  • Willingly perform additional job functions necessary to ensure safe patient care practices as directed by Supply Chain management.
  • Remain cross-trained and ready to perform other Supply Chain-related responsibilities (like floor distribution) when needed.
  • Work cooperatively and communicate effectively with others to achieve organizational goals in a computerized environment.
