About The Position

We are seeking a detail-oriented and organized Supply Chain Administrative Assistant to join our family business. This role is crucial for supporting our meat portioning and cooking operations by managing purchase orders, coordinating inbound raw materials, and providing essential administrative support. Our company provides beef, pork, and poultry processing and packaging solutions for the food service and retail industries, supplying national and international restaurant chains, major supermarkets, and club stores.

Requirements

  • Ability to follow established processes and procedures.
  • Proficiency in ERP systems and Microsoft Office applications, particularly Excel and Outlook.
  • High school diploma or equivalent required.

  • Basic understanding of procurement or logistics processes.
  • 2+ years of experience in an administrative, customer service, logistics, or procurement support role.
  • Experience in a manufacturing or food processing environment.

Responsibilities

  • Enter and maintain purchase orders in the ERP system.
  • Verify pricing accuracy, including formula-based and pre-delivery pricing.
  • Process purchase order revisions, product additions, and schedule updates.
  • Maintain organized and accurate procurement records.
  • Monitor open purchase orders and vendor commitments, performing timely follow-up.
  • Track inbound shipments including quantities, timing, plant destinations, and pricing.
  • Communicate shipment details and updates to plant scheduling and receiving teams.
  • Cross-check inbound materials against purchase orders for accuracy.
  • Obtain required origin plant documentation and approvals prior to product arrival.
  • Collect and maintain Certificates of Analysis (COAs), Bills of Lading (BOLs), and related documentation.
  • Ensure documentation is complete and available for receiving and audit purposes.
  • Assist in resolving documentation discrepancies in coordination with Suppliers, QA and FSQR teams.
  • Maintain consistent communication with suppliers, shipping and receiving teams, and plant personnel.
  • Coordinate updates related to raw material schedules and changes.
  • Support alignment between Supply Chain, Scheduling, Production, QA, and Logistics.
  • Ensure timely resolution of open issues by coordinating follow-up between suppliers, plant teams, and internal stakeholders.
  • Provide support for logistics coordination, raw material procurement, and third-party warehouse activities as assigned.
  • Assist with reporting, data entry, and special projects within the Supply Chain function.
