Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • 5+ years of payroll experience, with at least 2 years in a leadership or supervisory role overseeing payroll service functions or similar customer service teams.
  • Experience with Workday Payroll or other enterprise payroll systems is preferred.
  • In-depth knowledge of multi-state payroll processing, tax compliance, garnishment, payroll audits, and general payroll-related inquiries.
  • Strong leadership and management skills with the ability to guide, mentor, and motivate a payroll service team.
  • Strong understanding of payroll regulations and ability to ensure compliance.
  • Excellent communication skills, both written and verbal, with the ability to explain payroll-related matters clearly and effectively.
  • Detail-oriented and organized, with the ability to manage multiple tasks and prioritize in a fast-paced environment.
  • Experience in developing training materials, job aids, and documentation in a clear and user-friendly manner.
  • Ability to analyze data and resolve complex payroll issues effectively.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and payroll-related software/tools.

Nice To Haves

  • CPP (Certified Payroll Professional) or similar payroll certification.
  • Experience working with HR Support Tools or similar service management systems.
  • Knowledge of SOX compliance and internal controls within payroll processes.

Responsibilities

  • Lead and manage the Payroll Services function, providing excellent customer service to corporate, field, and ship center associates via the HR Support Tool.
  • Oversee and ensure the timely and accurate resolution of payroll inquiries, issues, and requests, maintaining high levels of customer satisfaction.
  • Serve as a key point of escalation for complex payroll-related inquiries, collaborating with the Senior Manager and Senior Analyst to resolve issues.
  • Assist with the preparation and processing of weekly and biweekly payroll for 20,000+ employees, working alongside the Senior Manager and Senior Analyst.
  • Review payroll data for accuracy, help resolve discrepancies and ensure all payroll deadlines are met.
  • Ensure that all payroll inputs are complete and correct, working closely with other departments to gather necessary information.
  • Manage and mentor the payroll services team, providing guidance, training, and ongoing development to ensure high performance and service quality.
  • Create and implement training programs, job aids, and SOPs to improve service efficiency and knowledge sharing.
  • Track team performance, develop performance goals, and support team members in achieving KPIs related to payroll services.
  • Develop, document, and implement Standard Operating Procedures (SOPs) to ensure consistency, accuracy, and efficiency in payroll services.
  • Collaborate with the Senior Manager and Senior Analyst to identify areas for process improvement, ensuring streamlined workflows across the payroll services function.
  • Develop and deliver training on payroll processes, updates, and system usage to ensure the payroll services team remains knowledgeable and up to date.
  • Create and distribute clear communications to associates regarding payroll changes, updates, and issues.
  • Ensure clear communication of any changes in payroll processing, tax compliance, or company policies to employees through appropriate channels.
  • Ensure all payroll services activities comply with SOX (Sarbanes-Oxley) requirements, maintaining proper documentation and controls.
  • Support internal audits and provide necessary payroll services documentation and information to auditors.
  • Work closely with HR, Benefits, IT, and other departments to address payroll-related issues and ensure that payroll operations run smoothly.
  • Partner with the Senior Manager and Senior Analyst to troubleshoot payroll issues, recommend improvements, and implement solutions.
