About The Position

Provides and supervises direct reports in the provision of check-in, scheduling and patient access including telephone access activities within the department to ensure the highest level of patient satisfaction. Creates and maintains effective office procedures and systems (i.e. reception, scheduling, referrals, medical record maintenance, supply ordering, etc.). Protects, maintains, and advocates for patient confidentiality. Responsible for ensuring provider and treatment templates are appropriate to meet volume needs. Provides administrative support to the department manager, director and medical director. Responsible for providing compiled data for Continuous Quality Improvement (CQI)/Performance Improvement (PI) projects. Acts as an EMR superuser for all scheduling, registration and patient access functions. Works as part of a multi-disciplinary team to aid and support the patient's service delivery plan and goals, including referrals coordination, scheduling of appointments, etc. Actively helps coordinate and participates in monthly staff meetings and other staff functions. Attends trainings, conferences, and workshops as appropriate for continuing education in the areas of front office management. Represents program as requested on internal and external committees to advocate for the service delivery needs of consumers. Assumes accountability for other departmental projects and responsibilities as assigned. Consistently provides service excellence to all patients, family members, visitors, volunteers and co-workers.

Requirements

  • Ability to read, write and communicate in English
  • Associates Degree (or higher) or equivalent experience in healthcare operations, clinical support services, or related business functions
  • Minimum of two (2) to three (3) years of direct supervisory or lead experience including oversight of staff and daily operations
  • Three (3) to five (5) years of experience in healthcare or social services
  • Minimum of three (3) years of experience in a medical practice with treatment areas preferred
  • Demonstrated knowledge of hospital billing practices and healthcare regulatory requirements
  • Excellent leadership, interpersonal, communication, and organizational skills
  • Demonstrated experience supervising staff across multiple locations
  • Ability to interact effectively with diverse high-risk clients and their significant others.
  • Ability to maintain strict confidentiality regarding patient, personnel and financial information. (HIPPA)
  • Advanced computer skills, including proficiency in word processing and Access and/or Excel
