About The Position

The Fixed Asset Supervisor oversees the fixed asset accounting function and the activities of the Fixed Asset Accounting Clerk. This position is responsible for ensuring the accurate recording, tracking, depreciation, and disposition of fixed assets, as well as supporting timely and accurate month-end and quarter-end reporting to management.

Requirements

  • Bachelor’s degree in Finance, Accounting, or related field preferred
  • Five or more years of experience in fixed asset accounting, fixed asset reporting, and the monthly financial close process required.
  • Thorough understanding of asset capitalization standards and accounting principles.
  • Strong attention to detail, analytical skills, and problem-solving skills.
  • Highly organized, with the ability to manage multiple priorities simultaneously.
  • Adept at managing and analyzing large data sets.
  • Working knowledge of U.S. GAAP, tax law, internal control procedures, and month-end close procedures.
  • Proficiency with Microsoft Excel, specifically using lookups and pivot tables, and ERP systems, such as SAP.
  • Ability to lead and support team members in completing special projects and time-sensitive assignments.
  • Strong written and verbal communication skills.

Responsibilities

  • Oversee the day-to-day activities of the Fixed Asset Accounting Clerk.
  • Maintain fixed asset ledgers for book and tax.
  • Monitor fixed asset acquisitions and disposals for the company’s rolling stock fleet, and assist the maintenance department with unit number assignments and coding.
  • Monitor activities within certain general ledger accounts or transactions to ensure timely, accurate and proper classification of capital or expense items.
  • Work closely with other departments to monitor and track IT, Maintenance, and Real Estate project costs and status and assist with the determination of appropriate accounting treatment for U.S. GAAP and tax standards.
  • Ensure timely completion of monthly rollforward schedules, journal entries, and reconciliations.
  • Record and reconcile depreciation expense, gains and losses on asset disposals, capitalized interest, labor capitalization, and closing adjustments.
  • Record U.S. GAAP and tax basis differences for fixed assets, including differences related to like-kind exchanges.
  • Perform various month-end close tasks and reconciliations as directed by the Manager – General Accounting.
  • Assist with updating internal capital spending budgets, actual cost tracking and reporting as requested by the Manager – General Accounting.
  • Assist operations with the annual rolling stock physical validation and reconciliation to the fixed asset ledger.
  • Ensure SOX Section 404 compliance over the fixed asset accounting process, including the execution and documentation of key controls and support for internal and external audit reviews.
  • Prepare monthly cloud accounting and reporting, and assist with determining the appropriate accounting treatment under U.S. GAAP.
  • Prepare monthly and quarterly reporting packages for fleet tracking for fixed assets which includes key metrics for financial reporting.
