About The Position

Reporting to the Group Director, Client Operations, the Supervisor, Client Finance Operations leads a team responsible for the financial health and operational accuracy of client accounts. This role sits at the intersection of Finance and Client Operations, combining hands-on oversight of billing, reconciliation, and team escalation with a growing mandate to build, standardize, and continuously improve the operational processes that support the broader Operations function. Requirements

  • 3 to 5+ years of experience in finance operations, client operations, agency operations, or business operations (media agency experience strongly preferred)
  • Demonstrated experience supervising, training, or mentoring a team
  • Strong understanding of billing, reconciliation, accounts payable/receivable, and month-end close processes
  • Experience supporting process documentation, workflow design, or process improvement initiatives
  • Strong aptitude for learning new technology and platforms; loves challenges and excels at problem-solving
  • Advanced Excel skills required (VLOOKUP, pivot tables)
  • High attention to detail with a strong quality control focus
  • Comfortable preparing and presenting materials for senior leadership review

Responsibilities

  • Supervise, train, and mentor a team responsible for billables analysis and billing summary preparation
  • Act as the primary point of escalation for the team on billing, reconciliation, and client finance issues
  • Set priorities, manage workload distribution, and monitor quality standards and deadlines across the team
  • Monitor and oversee monthly vendor invoice reconciliation across agency accounts, ensuring discrepancies are identified and resolved promptly by the reconciliation team
  • Oversee accounts payable and accounts receivable functions as they relate to client billing
  • Support month-end and year-end closing procedures
  • Maintain strong internal controls and ensure audit readiness
  • Address employee and vendor inquiries regarding payment and financial transactions
  • Learn, document, and continuously improve client finance and operational processes
  • Build, update, and maintain process documentation, workflow guides, RACIs, and escalation paths for client finance operations
  • Identify bottlenecks in billing, reconciliation, and reporting workflows and lead the implementation of process improvements
  • Partner with Finance, Planning, Activation, and Analytics teams on process application, change management, and adoption
  • Support annual reviews of client playbooks and financial process documentation
  • Support the financial and operational onboarding of new clients, scopes of work, and team members
  • Coordinate billing and finance setup checklists across Finance, Legal, Project Management, and account teams
