About The Position

The Supervisor, Amenities of Site Amenities is responsible for day to day operational support and service delivery across the New York Buying Office, a dynamic, high traffic workplace supporting approximately 1,400 employees. This role provides hands-on oversight of key workplace amenities—including but not limited to the Conference Centers and other communal spaces (i.e., micro markets, mothers’ rooms, pantries and copy areas) ensuring each space is safe, well-maintained and aligned to corporate standards. The role requires strong coordination and accountability management of outsourced service partners, building staff, and Corporate Properties Leadership. Success in this role requires strong judgment, effective prioritization of competing needs and clear, professional communication with cross-functional partners and leadership across the organization.

Requirements

  • 5+ years of facilities, workplace operations, hospitality, or amenity management experience.
  • Experience coordinating outsourced vendors in high-volume corporate environments.
  • Strong communication skills, including comfort interacting with executive levels.
  • Ability to work independently in a large, complex office.
  • Proficiency with Microsoft 365, Teams, and work order systems.
  • Consistent timeliness and regular attendance.
  • Must be able to lift 50 pounds.
  • This role requires full-time in-office presence, including to engage in in-person team interaction, meetings and collaboration, client support, mentoring, coaching, and/or feedback.

  • Bachelor’s degree in business, finance or real estate preferred or applicable work experience.
  • Experience supporting large corporate sites (1,000+ employees).
  • Hospitality and/or customer service experience.
  • Familiarity with conference room technologies and event support.

Responsibilities

  • Perform daily floor checks across high traffic amenity zones to ensure cleanliness, readiness, and safety.
  • Manage service tickets and work orders through to completion with timely follow up and clear communication.
  • Serve as the initial on-site point of contact for building services, safety concerns, and outsourced vendors.
  • Maintain adherence to workplace standards (cleanliness, signage, temperature/comfort, lighting, safety).
  • Own conference center(s) booking process and regular communications with administrative and support staff.
  • Own all aspects of conference center readiness: room turns, layouts, supplies, furniture condition, and daily reset audits.
  • Coordinate with IT/AV teams to ensure reliability of meeting technology; escalate urgent issues quickly.
  • Support executive and cross-functional meetings, including layout planning and vendor access.
  • Maintain documented SOPs for room resets, stocking, and end-of-day procedures.
  • Perform weekly conference room audits to ensure proper chair and table layout.
  • Serve as the primary liaison to the food service vendor; track performance, cleanliness, and daily service standards.
  • Conduct daily walk-throughs to validate stocking, critical equipment logs, sanitation, and presentation quality.
  • Monitor customer experience with food services and micro markets; identify gaps and drive vendor corrective actions.
  • Coordinate repairs to food service equipment (coolers, coffee machines, POS terminals) with vendors and building engineering.
  • Provide oversight to weekly milk and breakfast delivery/distribution.
  • Perform daily readiness checks for assigned amenity areas to ensure cleanliness, functionality of equipment and fixtures, safety compliance, proper signage, and availability of approved supplies.
  • Partner with outsourced service providers and equipment vendors to coordinate preventive maintenance and timely repairs.
  • Monitor adherence to posted guidelines; document and escalate any safety, misuse, or behavioral concerns.
  • Provide oversight and support for adjacent support spaces to ensure they remain orderly, well maintained, and used appropriately.
  • Conduct stocking audits to ensure product availability, data integrity, and presentation standards.
  • Coordinate vendor restocking schedules, equipment/appliance inspection & repairs, inventory adjustments and janitorial housekeeping needs.
  • Ensure pantry areas (employee break spaces) with consistent supply levels and cleanliness expectations.
  • Oversee outsourced vendors and service providers to ensure they meet SLAs, scope and site expectations.
  • Validate completion of daily/weekly routines (cleaning, food service, amenity areas, stocking, PM visits).
  • Track recurring issues and drive performance improvements through accountability conversations.
  • Maintain vendor logs, access badges, and compliance with building policies.
  • Identify safety hazards and lead immediate mitigation steps; log issues and follow up to closure.
  • Support emergency procedures (drills, evacuations, incident reporting).
  • Ensure food service and communal areas comply with safety, sanitation, and accessibility standards.
  • Provide concise updates to Ross Associates, Corporate Properties Leadership and others as required.
  • Partner with cross-functional teams (IT/AV, HR, Security, Food Services) to support business operations.
  • Serve as a polished front-of-house Corporate Properties representative for workplace experience and amenity services.
