About The Position

Ontario Shoes is hiring Summer Students to provide project support and perform a variety of administrative duties across a variety of hospital departments. Students will be matched to an area based on qualifications, skill set and interest. Responsibilities include but not limited to supporting special project as assigned, day to day administrative support, providing excellent customer service, supporting coverage for other staff and, and providing a welcoming environment. Summer Student placements for project and administrative support may include the following areas: Facilities/Support Services, Nutrition and Food Services, Volunteer Services and Communication, Administration Office, Assessment Reintegration Program, Finance, Risk, Data Analytics. Applicants must indicate the department of interest in their application.

Requirements

  • Candidates considered will be enrolled in a college or university program (Business Administration, Project Management, Health Administrations, Hospitality/Culinary, or other related programs)
  • Strong IT proficiency with ability to work effectively with Microsoft Office (Excel, Work, Outlook, PowerPoint)
  • Strong computer skills including software applications such as Microsoft office suite, data entry programs, and the internet
  • Excellent grammar, punctuation and spelling.
  • Enthusiastic individuals who welcomes feedback that fosters professional growth
  • Proven ability to manage multiple priorities with accuracy and attention to detail in a face paced environment
  • A quick learner and adaptable in a fast-changing environment
  • Ability to balance several competing demands and priorities
  • Excellent interpersonal skills and communication including tact and diplomacy when responding to telephones, greeting visitors and attending meetings
  • Consistently maintains confidentiality and ethical practice

Nice To Haves

  • Previous administrative experience in a professional setting is an asset
  • Demonstrated experience supporting projects, including tracking deliverables, organizing materials and maintaining project documentation
  • Recent experience in an office environment and/or previous experience with mental health population will be considered an asset.
  • Experience maintaining spreadsheets or report to support project work

Responsibilities

  • Answering telephone and in-person inquiries
  • Greeting patient/visitors and responding to routine inquiries
  • Coordinating and booking calendars and meetings
  • Composing and responding to correspondences
  • Taking and processing of minutes
  • Relays clear, accurate messages, provides follow-up when required and when appropriate
  • Attends to filing, photocopying and faxing on a daily basis
  • Arranges packages for courier
  • Supports assigned projects, including organizing materials, tracking deliverables and maintaining project documentation
  • Receives and directs all visitors to the appropriate area and notifies the responsible staff person.
  • Assist with scheduling-related tasks and coordination activities as delegated.
  • Help maintain shared folders, contact lists, and program resources to support efficient team functioning.
  • Supports Quality Improvement projects through data collection, tracking, and basic analysis
  • Conducts research and gathers information to support departmental programs and decision-making
