About The Position

The Summer Student – Outpatient Services will provide project and administrative support to the outpatient portfolio at Ontario Shores. Working closely with clinical managers and interprofessional teams, the student will assist with activities that enhance patient flow, improve patient and family experience, and support program quality and efficiency. This is a non-clinical role focused on coordination, data, and project-related tasks. The student will gain exposure to mental health service delivery in an outpatient hospital setting, while contributing to recovery-oriented, trauma-informed, and person-centred care.

Requirements

  • Currently enrolled in a post-secondary program in a related field such as: Health Sciences, Psychology, Social Sciences, Nursing, Health Administration, Public Health, or similar.
  • Returning to full-time studies in the next academic term (if required by funding/placement program).
  • Demonstrated interest in mental health, health care systems, or outpatient/community services.
  • Strong organizational skills with attention to detail and accuracy.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook); comfort with data entry and basic data summaries (e.g., simple Excel formulas, tables, charts).
  • Excellent verbal and written communication skills.
  • Ability to work both independently and collaboratively within an interprofessional team.
  • Comfort working in a fast-paced environment with changing priorities.
  • Respectful, non-judgmental approach to working with individuals living with mental health and/or substance use concerns.

Responsibilities

  • Administrative & Operational Support
  • Assist with scheduling-related tasks and coordination activities (e.g., preparing clinic lists, organizing appointment information, updating tracking tools) as delegated.
  • Support preparation, organization, and maintenance of patient and family education materials (e.g., print packages, digital resources, clinic handouts).
  • Help maintain shared folders, contact lists, and program resources to support efficient team functioning.
  • Provide general office support such as filing, scanning, data entry, document formatting, and meeting coordination.
  • Data, Reporting & Quality Improvement
  • Assist with collection, entry, cleaning, and basic summarizing of data related to outpatient program indicators (e.g., referrals, wait times, appointment activity, group attendance), as assigned.
  • Support ongoing quality improvement or evaluation projects (e.g., compiling survey results, creating simple charts/tables, preparing presentation materials).
  • Help update and maintain tracking tools for patient flow, referrals, and service utilization.
  • Patient & Family Experience Support
  • Assist with patient and family feedback processes (e.g., organizing survey templates, entering responses, supporting analysis under supervision).
  • Help organize patient-facing materials to ensure they are clear, current, and accessible (print and/or digital).
  • Support logistics for group programs or education sessions (e.g., room setup, sign-in sheets, materials preparation), as directed by clinical staff.
  • Project & Team Support
  • Contribute to time-limited projects within Outpatient Services (e.g., standardizing forms, mapping workflows, creating resource inventories).
  • Prepare draft documents, slide decks, and summary notes for managers or project leads.
  • Attend team or project meetings as requested and provide administrative support (e.g., note-taking, action item tracking).
  • Professionalism & Safety
  • Maintain confidentiality and privacy of patient information in accordance with Ontario Shores policies and relevant legislation (e.g., PHIPA).
  • Demonstrate professional communication and behaviour with patients, families, and staff.
  • Follow all organizational policies and procedures related to health and safety, infection prevention and control, and respectful workplace practices.
