About The Position

The Part‑Time OPS Counseling and Clinical Education Center (CCEC) Summer Coordinator provides licensed clinical guidance and operational oversight for the Counseling and Clinical Education Center (CCEC), the on‑campus training site for counseling students. This role ensures continuity of clinic operations during the full‑time Coordinator’s absence by coordinating workflow among clinic supervisors, faculty, administrative staff, and Graduate Student Assistants (GSAs). The OPS Coordinator manages daily clinic functions, supports trainees during urgent clinical situations, and ensures that Titanium (clinical documentation) and EXXAT (student hours and placement tracking) remain accurate and up to date. The position reports directly to the School Director and collaborates closely with the full‑time CCEC Coordinator to maintain consistent standards of service, documentation, and training quality.

Requirements

  • Active clinical license (LMHC, LCSW, LMFT, Licensed Psychologist, or equivalent).
  • Experience providing crisis response or emergency clinical guidance.

Nice To Haves

  • Experience in a university counseling training clinic.
  • Experience coordinating workflows for trainees or faculty.

  • Familiarity with Titanium or similar clinical documentation systems.
  • Familiarity with EXXAT or similar student tracking systems.

Responsibilities

  • Serve as the licensed clinician available for urgent or emergent client situations.
  • Coordinate emergency response and provide licensed clinical guidance during crises.
  • Conduct brief risk assessments and determine appropriate next steps.
  • Document emergency encounters in Titanium according to clinic standards.
  • Consult with the School Director/program director for high‑risk or complex cases.
  • Coordinate workflow for clinic supervisors and faculty involved in training activities.
  • Provide guidance to student trainees as needed when clinical questions arise.
  • Ensure communication between trainees, supervisors, and administrative staff remains timely and accurate.
  • Maintain clear documentation of coordination activities.
  • Oversee daily workflow for administrative staff and three GSAs.
  • Ensure coverage of front desk, phones, and client‑facing operations.
  • Provide training on confidentiality, communication standards, and clinic procedures.
  • Conduct weekly check‑ins and maintain brief coordination notes.
  • Ensure smooth daily operations, including opening/closing procedures and lobby readiness.
  • Oversee appointment scheduling, client communication, and coordination with trainees.
  • Monitor CCEC email and voicemail; triage messages requiring licensed attention.
  • Ensure accurate payment processing and review daily reconciliation reports.
  • Maintain quality assurance for Titanium documentation and client files.
  • Ensure Titanium entries are accurate, complete, and compliant with clinic standards.
  • Verify intake forms, demographic information, and communication logs.
  • Maintain EXXAT records for student hours, placement tracking, and supervisor information.
  • Ensure EXXAT data remains current for fall practicum/internship preparation.
  • Maintain updated lists of supervisor credentials.
  • Prepare fall placement materials, orientation packets, and communication templates.
  • Support student readiness for practicum and internship placement.
  • Maintain weekly communication to ensure continuity of operations.
  • Follow established workflows, documentation standards, and clinic procedures.
  • Provide transition notes and updates upon the full‑time Coordinator’s return.
  • Assist with special projects or administrative tasks assigned by the School Director.
  • Support preparation for fall semester operations.
