About The Position

This is a SUMMER TEMPORARY position located at the Family & Community Engagement Center. The role will assist staff with student registrations for the district. The assignment is expected to last approximately 8 weeks, from July 6, 2026, to August 28, 2026, with some flexibility. The work schedule will be 30 hours per week, with specific hours and days to be agreed upon at the time of hire. Fluency in Portuguese and/or Spanish is preferred. The job goal is to facilitate and support the efficient operations of the administrative office(s).

Requirements

  • High school graduate with courses in business and/or office procedures.
  • Proficient in word processing, use of office machines, computer operations to include use of internet, email, calendars, spreadsheets.
  • Ability to interact with staff, students, parents and the public in a professional and courteous manner.

Nice To Haves

  • Associate Degree preferred.
  • Experience with student information systems preferred (Aspen).
  • Prior experience as an administrative assistant preferred.
  • Multi-lingual preferred. Fluencies in Portuguese and/or Spanish.

Responsibilities

  • Effectively manage/coordinate simultaneous projects and successfully prioritize multiple tasks in a detail-oriented and thorough manner.
  • Works with minimal supervision.
  • Communicate effectively and confidentially via phone and email.
  • Perform duties in a professional, courteous and accurate manner.
  • Assist supervisor with organization of various events, publications and projects e.g. file sharing and presentation software.
  • Maintain well-organized, accurate records and files.
  • Support maintenance of student data systems and student/staff records (e.g. student information systems, web-based registration, staff attendance, staff employment forms/reports).
  • Maintain confidentiality of all student and staff information.
  • Manage supervisor’s correspondence, appointments and calendar.
  • Greet and assist public and substitute staff.
  • May be required to prepare payroll records and accounts receivable/payable in accordance with the collective bargaining agreement.
  • Implement school district policies, guidelines, rules and regulations pertinent to the position as directed.
  • Attend and apply professional development to practice.
  • Maintain and order school supplies when necessary.
  • Other duties as assigned by immediate supervisor in accordance with collective bargaining agreement.
