About The Position

Trail Drive Management Corp (TDMC) is looking for a part-time Suites & Loge Box Pantry Coordinator. This role is responsible for ensuring each suite and loge box is properly and completely set for each event. This involves checking the in/out and rotation of product, accurate inventory, and pantry organization. The position is 100% on-site.

Requirements

  • Minimum of 18 years of age.
  • At least one year of operations experience.
  • At least one year of experience in an administrative role.
  • Proficient in Microsoft applications (Word, Excel, PowerPoint, CRM, and Outlook).
  • Excellent interpersonal skills and diplomacy.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and proven customer service skills.
  • Exceptional organization and prioritization.
  • Strong problem-solving, analysis, and strategic thinking skills.
  • Ethical conduct while working.
  • Strong leadership skills.
  • Ability to work a flexible schedule including – nights, weekends, and holidays.

Responsibilities

  • Making sure each suite and loge box is properly and completely set prior to each event start time.
  • Communicating with the food and beverage team and guests to ensure food quality and service standards are maintained.
  • Monitoring staff by maintaining policies and procedures, ensuring safety, sanitation, and responsible alcohol service.
  • Ensuring quality and hospitality throughout the Suite Level of the arena.
  • Communicating between counterparts within the department.
  • Pantry organization and event preparation.
  • Assisting in closing out financials at each event and ensuring correct billing.
  • Assigning team members to specific event-related tasks.
  • Serving as a liaison between Suite and Loge Box Supervisors and Kitchen staff throughout each event.
  • Assisting with the supervision of team members on non-event and event days.
  • Capturing and properly tracking food and beverage orders placed during the event.
  • Expediting the communication of special food and beverage requests, late orders, changes, and guest-related issues.
  • Preparing and tracking the distribution of receipts, invoices, and/or refund transaction documents on an event basis.
  • Maintaining and ensuring excellent customer service for internal and external guests.
  • Checking in/out and rotation of product, accurate inventory, and food and beverage preparation.
  • Ensuring locations are cleared of any remaining food, beverages, and equipment at the end of the event and resetting for the next event.
  • Holding pre-shift meetings and assigning team members to specific event-related tasks.
  • Monitoring and enforcing safe alcohol policies and procedures.
  • Monitoring and maintaining inventory control and product requisition with the pantry/department.
  • Performing other duties as assigned.
