About The Position

Under the direction of the Executive Administrative Assistant, this position will be responsible for clerical/reception duties as assigned. Secretarial duties may also be included; such tasks as assisting site secretaries with job duties while covering for approved absences.

Requirements

  • High school diploma or general education degree (GED); and two or more years of related experience and/or training; or equivalent combination of education and experience.
  • Candidate must have excellent computer skills including a working knowledge of Word, Excel and Windows.
  • A typing speed of 40 wpm is preferred.
  • The ability to exercise discretion, customer service and independent judgment is required.
  • Ability to read and interpret documents such as safety rules, operation and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Valid Driver' License
  • Ability to use basic office machines.

  • Ability to organize time and prioritize tasks.

Responsibilities

  • Provides reception or clerical services as assigned, such as answering Agency telephones, making reminder calls, assist with the check-in/check-out and scheduling of appointments for individuals served and assist visitors.
  • Provides direction for visitors.
  • May assist other secretarial staff with clerical job duties during approved absences.
  • Participates in in-service training sessions and other staff development activities as directed.
  • Demonstrates understanding of and compliance with Agency and program policies and procedures.
  • Responsible for knowing and understanding building opening and closing procedures.
  • Participates in committees and work teams as requested or assigned.
  • Perform other duties as assigned.
