About The Position

The Student Support Coordinator will provide specialized administrative support to the SBTC International Military Student Officer (IMSO). This role involves direct support for all International Military Students (IMS) in areas such as administration, cultural enrichment, transportation, and logistics. The coordinator will assist with record keeping, report preparation, scheduling, database management, and ensuring timely updates to personnel tracking matrices. A key aspect of the role is facilitating the Field Studies Program (FSP) for IMS, including coordination, budget input, and pre-briefings. The position also requires assisting with academic reporting, English Comprehension Level (ECL) testing, and providing technical support for dormitory access. Additionally, the coordinator will manage office supplies, gather student documentation, verify travel and visa information, and escort students to their accommodations. Support for graduation ceremonies, including setup and breakdown, is also a responsibility. The role may involve acting as a master of ceremonies and ensuring accurate scheduling of daily and weekly activities for IMS. Travel and lodging coordination for FSP events within a 400-mile radius is required, along with support for command functions, which may include evenings and weekends.

Requirements

  • Five (5) years’ experience writing professional correspondence and documents.
  • Five (5) years’ experience in the use of computers and computer-related devices.
  • Five (5) years’ experience communicating fluently both orally and in writing in English and Spanish.
  • Five (5) years’ experience in general office and administrative skills to include experience using Microsoft Office suite and operating office machines such as copier, fax, etc.
  • Shall be able to write correspondence in professional format, when necessary.

Nice To Haves

  • Shall have or be able to obtain and maintain a Commercial Driver’s License (CDL) Class B within 60 days of start date.

Responsibilities

  • Serve as interpreter for Spanish speaking students.
  • Arrange transportation and lodging for students.
  • Maintain records, prepare reports, and manage databases for SBTC International Military Student Officer (IMSO).
  • Provide direct support to International Military Students (IMS) in administration, cultural enrichment, transportation, and logistics.
  • Maintain and update the personnel tracking matrix.
  • Assist with student orientation, accountability, and security ID issuance.
  • Coordinate and schedule appointments for student Common Access Cards (CACs).
  • Assist with Field Studies Program (FSP) events for IMS, including budget input and pre-briefings.
  • Assist course instructors with International Student Academic Reports (ISAR) input, proofreading, and uploading.
  • Provide remarks on students’ participation in extracurricular and community affairs.
  • Administer English Comprehension Level (ECL) testing for IMSs and record scores.
  • Conduct pre-briefing for IMS before FSP activities and brief escorts on their roles.
  • Provide IMS with emergency and assistance phone numbers.
  • Inform funding clemency representatives of significant changes involving participants, itinerary, or funding.
  • Provide technical support for programming dormitory doors and key cards.
  • Maintain inventory of office supplies, forms, and printed materials.
  • Gather travel and medical records and other required documents from IMSs upon arrival.
  • Check passports/visas and compare with IMS International Travel Orders (ITO) for accuracy.
  • Escort IMS to their berthing assignment and demonstrate room amenities.
  • Assist with locating and making venue reservations for Graduation Ceremonies and conduct related setup/breakdown duties.
  • Assist with scheduling daily and weekly activities for IMS.
  • Coordinate travel and lodging requirements for students attending FSP events within a 400-mile radius.
  • Provide support at official command functions, FSP events, and graduation events, including evenings and weekends as required.
  • Fill the role of master of ceremony, when necessary.
