About The Position

The Student Success Specialist plays an integral role in the overall successful operation of the Knauss School of Business Student Success Center (SSC). The Specialist is responsible for managing, coordinating, organizing, and supporting projects and processes within the SSC as well as managing the front desk in a fast-paced, highly trafficked setting serving both undergraduate and graduate business students. The Specialist supports the Assistant Deans of Student Success in efforts to communicate and implement student-related policies, deliver inclusion and wellness initiatives, and initiate student outreach in order to provide proactive and student-centric, personalized services that empower business students to identify, pursue and achieve their academic, personal and career ambitions. The Specialist monitors SSC equipment and coordinates schedules and special events, as needed. The Specialist must have excellent verbal and written communication skills as well as the ability to prioritize and multitask during busy times in the office.

Requirements

  • High school diploma
  • 3 years of work experience in business or education in administrative support
  • Experience using CRM tools
  • Ability to anticipate potential needs and propose innovative solutions to office and team activities
  • Data entry and database management
  • Excellent phone etiquette, written and in-person communication skills
  • Proficiency in Microsoft Word, Excel, Outlook, etc.
  • Proven ability to work independently without supervision

Responsibilities

  • Provide outstanding customer service by welcoming and assisting all stakeholders who contact the SSC.
  • Ensure that all inquiries are directed to the appropriate departments.
  • Provide oversight of and lead the training for the team of student workers who cover the front desk/reception for the Student Success Center (SSC).
  • Manage student coordinators and workers and provide oversight of student tasks and responsibilities, including the projects the student workers complete for the SSC team, conducting check-ins with student workers, as needed, to ensure projects are completed on time and accurately.
  • Disseminate accurate information about business majors, minors and graduate programs to stakeholders, including undeclared students and prospective students and parents.
  • Assist in monitoring and coordinating responses to inquiries submitted through email or Case Management for the SSC.
  • Assist with monitoring and ordering equipment and supplies as needed.
  • Assist with room reservations, catering and programming for SSC team events and events hosted by the SSC.
  • Support the Center with all processes related to providing effective, efficient and student-centric services.
  • Support the Assistant Dean with special projects as assigned.
  • Coordinate communication with students on behalf of the Assistant Dean, including academic status letters.
  • Assist with the coordination of academic integrity hearings, grade grievances and faculty polls to gather information to assist with faculty alert outreach reports and other academic or student wellness concerns.
  • Maintain and update information for student academic files and records within all appropriate platforms (e.g. Salesforce and Maxient).
  • Serve in the Honors Convocation Committee to assist with the logistics for Honors Convocation events and coordinating awards for recipients.
  • Coordinate Beta Gamma Sigma invitations and annual initiation ceremony.
  • Coordinate invitations for appropriate graduate students to join Beta Alpha Psi.
  • Assist with the coordination of graduate business and other awards and recognition celebrations.
  • Prepare and send undergraduate dean’s honor list letters at the end of each Fall and Spring semester.
  • Disseminate student scholarship information and coordinate scholarship application submissions and the review process.
  • Assist students with questions on options and procedures related to academic policies and procedures (e.g. academic integrity, grade grievances, probation and wellness support).
  • Maintain and update electronic shared drives to organize and optimize the office’s record keeping of documents related to office functions.
  • Coordinate with the Registrar, Financial Aid, Student Accounts and other offices regarding academic policies and procedures.
  • Maintain a welcoming, student-centric office environment.
  • Maintain confidentiality due to the nature of interactions with students, parents, faculty and other Knauss School of Business and university personnel.
