About The Position

The Student Office Assistant supports the Business & Finance Department by assisting with administrative tasks, financial operations, front-desk customer service, and special projects. This role is designed to provide students with hands-on experience in professional office and finance operations while helping maintain the efficiency of departmental services across campus.

Requirements

  • Must be a current student enrolled in the federal work study program and in good academic standing.
  • Dependable, punctual, and detail-oriented.
  • Strong organizational, communication, and customer service skills.
  • Ability to handle confidential information with professionalism.
  • Basic knowledge of Microsoft Office (Word, Excel, Outlook) or willingness to learn.
  • Ability to work independently and as part of a team.

Responsibilities

  • Provide general office support including answering phones, taking messages, filing, scanning, copying, and organizing departmental documents.
  • Assist with maintaining spreadsheets, logs, or basic databases related to departmental operations.
  • Support preparation and distribution of correspondence, memos, and reports.
  • Perform additional administrative and clerical duties as assigned.
  • Provide front-desk assistance for the Business & Finance office, answering routine questions from students, staff, or vendors.
  • Direct walk-ins to the correct staff member or department (Accounts Payable, Payroll, Student Accounts, etc.).
  • Help explain basic processes (like how to pay fees, request reimbursements, etc.) using office FAQs.
  • Assist with preparing purchase orders, check requests, or invoice tracking.
  • Help maintain vendor files and assist with document collection (e.g., W-9s).
  • Support data entry for expense tracking, budget logs, and other financial records.
  • Assist with assembling reports, audit preparation materials, or departmental budget packets.
  • Assist with policy and procedure updates by proofreading or formatting documents.
  • Support scanning and digitizing old records for easier access.
  • Participate in financial literacy programming (e.g., workshops on budgeting, credit, or student loan repayment).
  • Maintain confidentiality and accuracy when handling sensitive financial or departmental information.
  • Demonstrate professionalism, punctuality, and strong interpersonal skills in all interactions.
