About The Position

The Student Information System & Enrollment Data Specialist serves as the district’s primary technical and compliance lead for student information systems, enrollment data, and state/federal reporting. This position ensures the accuracy, integrity, and security of student and staff data; provides technical support and training; and manages critical reporting processes impacting funding, compliance, enrollment, scheduling, graduation outcomes, and program accountability. Chief Leschi Schools, formerly known as the Puyallup Tribal School, was founded in 1976 to address the high dropout rate of the youth of the Puyallup tribe. It is the largest of seven tribal schools in the state of Washington and one of approximately 200+ tribal schools in the United States. It is also one of the largest tribal schools to be funded by the Bureau of Indian Education.

Requirements

  • Associate’s degree in information systems, Business Administration, Data Management, or a related field; OR an equivalent combination of education and relevant experience
  • Four (4) to six (6) years of progressively responsible experience in student information systems, data management, or database/system administration
  • Experience with state or federal compliance reporting required
  • Experience working with large datasets, data validation, and reporting processes
  • Experience using Microsoft Excel at an intermediate level or higher
  • Successful criminal background clearance
  • Successful and/or clear drug screening
  • Student information system administration and data governance
  • State, federal, and tribal reporting requirements impacting school funding
  • Enrollment, attendance, grading, transcript, and graduation data systems
  • OSPI CEDARS reporting and validation rules
  • Confidentiality laws and secure data handling practices (e.g., FERPA)
  • Ability to develop accurate reports and troubleshoot complex data issues

Nice To Haves

  • Bachelor’s degree in a related field
  • Experience with K–12 student information systems (e.g., NASIS, Skyward, PowerSchool)
  • Experience with Washington State CEDARS reporting or comparable state reporting systems
  • Experience with federal or tribal education reporting (e.g., BIE, ISEP)
  • Knowledge of traditional Native American cultures and values

Responsibilities

  • Administers and maintains the district’s Student Information System (SIS), including system configuration, user access, and security roles.
  • Creates and manages user groups and permissions to ensure appropriate access and data security.
  • Develops and administers Online Registration (OLR) systems to support efficient enrollment processes.
  • Builds and supports master schedules and system configurations to improve operational efficiency and reduce manual workload.
  • Develops data extracts, filters, and automated processes to support third-party systems and internal reporting needs.
  • Manages and supports integrations between SIS and third-party systems (e.g., ParentSquare, Athena) to ensure accurate and consistent data flow.
  • Maintains knowledge of SIS functionality, including attendance, enrollment, grading, behavior, and transcript systems.
  • Performs system audits, including data health checks, and leads data cleanup efforts as needed.
  • Establishes data standards and ensures cross-system data consistency across platforms.
  • Develops and implements procedures for data entry, validation, and system use to promote accuracy and compliance.
  • Provides technical training and ongoing support to staff to ensure effective system utilization.
  • Oversees enrollment data processes to ensure compliance with district, state, federal, and tribal requirements.
  • Maintains and monitors student enrollment records, ensuring accuracy and completeness of digital and physical files.
  • Supports enrollment-related processes, including appeals, by organizing, scheduling, and facilitating meetings with staff and families, and ensuring timely follow-up on decisions.
  • Collaborates with departments to ensure accurate data collection related to enrollment, attendance, and program participation.
  • Supports Free and Reduced Lunch (FRL), Direct Certification, and high-poverty reporting processes in coordination with relevant departments.
  • Assists with data processes related to state and federal program eligibility, including summer EBT and CEP applications.
  • Supports staff use of EDS and other systems to ensure data accuracy tied to funding and compliance.
  • Coordinates with HR and program staff to ensure accurate staff and course data alignment for reporting purposes.
  • Manages and ensures compliance with all state, federal, and tribal reporting requirements, including those directly impacting district funding and audit outcomes.
  • Develops, maintains, and submits required reports, including CEDARS and other state and federal reporting systems, in a timely and accurate manner.
  • Reviews OSPI CEDARS data manuals and implements necessary system updates and data processes.
  • Calculates and submits student FTE and schedule data for state apportionment (SAFS).
  • Monitors enrollment, attendance, and program data to ensure compliance with BIE and state regulations.
  • Supports BIE audits, ISEP certification, and other compliance reviews, including validation of EL/NLL and related data.
  • Maintains documentation and audit trails for all reporting processes.
  • Investigates and resolves data discrepancies impacting reporting accuracy, funding, or compliance.
  • Collaborates with program directors, assessment coordinators, and leadership to gather and validate required reporting data.
