About The Position

The Student Affairs Office Manager is a 12-month full-time professional staff member responsible for the operational and administrative support of the Division of Student Affairs at Texas Wesleyan University. This position manages the front-facing customer service experience in the Student Affairs suite and at the Martin Center front desk, ensuring a welcoming and efficient environment for students, visitors, and staff. The Office Manager coordinates purchasing and requisitions, facilitates scheduling and reservations within university systems, and provides administrative support to divisional leadership. This role is pivotal in maintaining daily office functionality, promoting positive student interactions, and supporting divisional priorities.

Requirements

  • Bachelor's degree preferred.
  • Minimum of two years of experience in office management, administrative support, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with university scheduling software or similar systems.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Discretion and ability to maintain confidentiality.

  • Experience in higher education or student affairs.

Responsibilities

  • Serve as the primary customer service representative for the Division of Student Affairs, welcoming visitors and addressing inquiries in person, by phone, or via email.
  • Manage the day-to-day operations of the Student Affairs office and the Martin Center front desk, including supervision and scheduling of student staff.
  • Provide administrative support to the Vice President for Student Affairs and the broader Student Affairs team, including scheduling, correspondence, and project coordination.
  • Manage university space reservation requests using scheduling software.
  • Coordinate all divisional purchasing, including submitting requisitions, processing purchase orders, and maintaining budget tracking for supplies and services.
  • Support planning and logistics for divisional and university signature programs and events.
  • Maintain confidential student records and correspondence in compliance with FERPA and institutional policies.
  • Other duties as assigned based on the evolving needs of the Division of Student Affairs.
