About The Position

Under the general direction of the Director, assist in the overall coordination of functions/activities within the department.

Requirements

  • Satisfactory completion of two years of college or equivalent.
  • Two years of full-time secretarial or office administrative work experience, including bookkeeping and public contact.
  • Communicate effectively with a variety of students, faculty, staff, alumni, and visitors in a variety of situations.
  • Exercise good judgment and tact.
  • Input, retrieve, download, merge, output, and maintain information from various software programs and systems.
  • Maintain the confidentiality of highly sensitive personal information.
  • Meet deadlines and demonstrate excellent organization skills.
  • Ability to operate all standard office equipment.
  • Research, collect, analyze, and produce reports.
  • Demonstrated successful experience working directly with people from diverse backgrounds, including cultural, educational, socioeconomic, and life experiences.

Responsibilities

  • Answer inquiries from a variety of internal and external sources and provide explanations and interpretations of policies and procedures.
  • Assist with/coordinate the production of major entertainment events. Review and negotiate contracts, determining technical needs, hospitality needs, and arrange security, etc. May have to attend a number of these events.
  • Collect, retrieve, and organize data to coordinate the activities of, and provide advice to, Registered Student Organizations (RSOs) on issues such as eligibility lists, programming needs, special events, and policy interpretation.
  • Monitor activities on event days and provide assistance to ensure proper functioning.
  • Assist with and approve event registrations for RSOs and campus departments.
  • Assist the Director in processing contracts and vendor payments.
  • Assist with coordinating traditional events.
  • Perform all duties and responsibilities of positions included in Grades 1 through 4 of the CTA contract.
  • Review and screen all campus flyer postings.
  • Train and schedule student employees.
  • Carries out these responsibilities in accordance with University policies and applicable laws.
  • Maintain the confidentiality of designated information.
  • Reports to immediate supervisor.
  • Trains and supervises non-bargaining unit clerical and student employees.
  • Cultivates an environment of belonging that values, respects, supports, and celebrates individual similarities and differences, allowing students, faculty, and staff to thrive authentically.
  • Support, promote, and develop University student enrollment and retention initiatives.
  • Perform any other duties assigned within the position classification area.
  • Attend meetings and conferences in the absence of the director.
