About The Position

The Strategic Campaigns Coordinator provides administrative, logistical, and operational support for departmental events, campaigns, and priorities. Key responsibilities include coordinating travel, agreements, expenses, department documentation, scheduling, and event and campaign support.

Requirements

  • Bachelor’s degree or Associate’s degree; preferably in communications, business administration or public relations.
  • Minimum 5 years of hands-on experience in event planning, campaign execution or project management.
  • This position requires travel as needed to support organizational activities.
  • Proficiency with standard office suites (Microsoft 365, Google Workspace).
  • Ability to monitor spending, reconcile invoices and build cost estimates.
  • Ability to maintain fine details for floor plans and schedules for speakers.
  • Ability to prioritize urgent tasks to meet deadlines or changes from leadership.
  • Excellent verbal and written communication skills.
  • Ability to build positive rapport with internal teams and external members.
  • Excellent interpersonal and relationship-building skills.
  • Ability to work collaboratively as part of a team to meet organizational goals.
  • Must be eligible to work in the United States.

Responsibilities

  • Coordinate speaker travel and accommodations, including flights, hotels, ground transportation, and itineraries.
  • Support the preparation, routing, and tracking of speaker, vendor, and event-related agreements.
  • Process departmental expenses and reconcile the department’s corporate card, including receipts and supporting documentation.
  • Maintain and coordinate tax exemption certificates for eligible purchases.
  • Maintain organized department records, trackers, databases, contracts, and event/campaign documentation.
  • Provide logistical and administrative support for event preparation and campaign implementation.
  • Coordinate department calendars, meetings, scheduling, and follow-up items.
  • Assist with vendor documentation, invoices, payments, and administrative coordination.
  • Track departmental deadlines, travel, agreements, expenses, and outstanding action items.
  • Assist with collecting and organizing event and campaign results and reporting.
  • Provide administrative support to the Events Manager, Strategic Campaigns Manager, and Assistant Director, Events & Strategic Campaigns.
  • Travel as needed to events, meetings, conventions, and other organizational initiatives to provide on-site administrative and operational support for the department.
  • Perform other related departmental duties and special projects as assigned.
