About The Position

The Strategic Accounts Operations Support position will provide operational support to Managing Director(s), as well as comprehensive support across multiple projects and business processes for our Strategic Accounts team. Responsibilities As well as providing executive level support to the Managing Director(s), this role will be a resource for client accounts and revenue generating activities support. Additionally, this role will be responsible for providing technology, reporting, and meeting support and assistance with Strategic Account team processes.

Requirements

  • Associate degree required, Bachelor’s degree preferred.
  • 5+ years’ administrative experience.
  • Intermediate knowledge of Microsoft Office products and database entry.
  • Proficiency in Excel, PowerPoint and Word is required.
  • Intermediate knowledge of Excel pivot tables a plus.
  • Experience in high-pressure, fast-paced corporate environments
  • Experience with calendar management (across multiple time zones), travel coordination, and meeting logistics
  • Project coordination and support across departments
  • High level of professionalism and discretion
  • Ability to multitask and prioritize competing deadlines, excellent time management
  • Proactive and agile approach to problem solving and solutioning
  • Strong interpersonal skills and team collaboration
  • Demonstrated strong and clear verbal and written communication skills
  • Experience acting as a liaison between leadership and team members and/or other business groups
  • Experience with Salesforce DocuSign, and DOMO preferred.

Responsibilities

  • Manage and coordinate the Managing Director’s calendar.
  • Collaborate with other executive assistants to coordinate calls with field Senior Leadership, as well as external partners.
  • Prepare internal memos and infrastructure announcements by gathering relevant information.
  • Handle confidential or sensitive information.
  • Assist with new account target assignments and ongoing maintenance and reconciliation of target lists.
  • Coordinate and assist with executing all New Deal rollouts. Including, call coordination with Vice Presidents, creation of presentation materials, generation of revenue and sales reports, etc.
  • Aid in maintaining job order compliance to ensure adherence to client contracts, policies, and procedures.
  • Plan and prepare meetings and presentation materials for internal and external meetings in a timely manner, including but not limited to, QBRs, annual Chart Reviews, roadmaps and ad hoc request materials.
  • Liaise with Corporate Meeting Planners to coordinate and execute off-site team meetings and events, including travel and hotel arrangements, restaurant and catering, activities, and preparation of itineraries, agendas, and meeting materials.
  • Generate, verify, and analyze various reports: expense reports, performance reviews, revenue reports, as well as highly confidential reports such as compensation and budget reports.
  • Contacts company personnel at all organizational levels to gather information and prepare reports.
  • Generate and distribute weekly, bi-weekly, or monthly reports including but not limited to: requests from clients, team and field; FLAG and Local Contracts Log; Sales Reports; Ad hoc requests.
  • Oversee database maintenance, including audit of project pipelines.
  • Support the adoption and usage of process and technology initiative and best practices.
  • Assist with troubleshooting technical issues and provide updates on requests when needed.
  • Submit ServiceNow tickets on behalf of Managing Director, Managing Vice Presidents, and Sr./Vice Presidents.
  • Screen requests and emails; direct inquiries as needed and/or respond appropriately.
  • Assist employee related processes including documenting performance reviews, updating job descriptions, conducting research.
  • Assist with processing invoices and check request inquiries.
  • Responsible for preparation, coordination, and management of team contests including establishing guidelines, spreadsheet tracking and awards.
  • Organize and coordinate team engagement tools, including the set up of Microsoft Teams or text group chats, and anniversary and birthday recognition and announcements.
  • Assist with social media communication, and coordinate milestone celebrations using platforms such as LinkedIn, Dynamic Signal, and Kudoboard.
  • Coordinate support task coverage during vacation time to ensure uninterrupted processes and workflow.
  • Facilitate ordering of supplies, business cards, and various business-related licenses.
