Coordinate and manage visibility and communication between manufacturers, upfit vendors, driveaway vendors, onboarding/staging partners, and both internal and external clients regarding the status of vehicles and equipment from order through final delivery. Research the status of vehicles with manufacturers and/or upfitters using work buckets, OEM/vendor websites, and reporting tools to ensure targeted dates are met. Proactively identify potential delays in production, upfitting/onboarding, and shipping by analyzing data from the status system, vendor communications, and reporting tools. Analyze and spot-check invoices from vendors, upfitters, and transport companies to ensure accurate pricing. Set up and manage transportation for the last mile of vehicle deliveries. Communicate all delays that affect the successful delivery based on normal order-to-delivery timelines to internal stakeholders (Account Management, Client Administration, Account Development Representatives, Sales Managers) and clients. Manage and communicate listings of delayed vehicles via Business Objects reporting on a weekly basis to internal stakeholders and customers. Upload data and maintain the validity in the status system by adding relevant, clear, and concise notes. Ensure a complete end-to-end picture with the information gathered and stored for other users to understand the most recent status update. Utilize FleetTrak to manage all cases and maintain escalation levels in line with company/departmental goals. Take ownership of all status updates communicated to other areas of the company, ensuring the client is aware of the information. Ensure that all internal communications regarding status information are relayed to the correct contact. Perform all other duties and special projects as assigned
