About The Position

HHS Aviation is seeking a highly organized and proactive Station Administrative Assistant to provide comprehensive administrative and clerical support to our team. The ideal candidate will be a detail-oriented individual with excellent communication and interpersonal skills, capable of managing multiple tasks efficiently and maintaining a professional demeanor at all times. The Administrative Assistant will play a crucial role in ensuring the smooth and efficient operation of our office. This position requires a resourceful individual who can work independently, anticipate needs, and contribute to a positive and productive work environment.

Requirements

  • High school diploma or equivalent required
  • Two or more years of aviation operations, training, safety, or supervisory experience preferred.
  • Experience coordinating employee training programs and maintaining compliance records preferred.
  • Working knowledge of FAA, TSA, OSHA, airport authority, and airline operational requirements preferred.
  • Experience with Workday Learning, Learning Management Systems (LMS), or similar training platforms preferred.
  • Experience delivering aviation operational training, developing training materials, and facilitating classroom or hands-on instruction.
  • Strong proficiency with Microsoft Excel, Word, Outlook, and PowerPoint.
  • Must pass all airport background screening requirements and possess a valid driver's license (where applicable).

  • Associate's or Bachelor's degree in Aviation Management, Business Administration, Education, or related field preferred.

Responsibilities

  • Answer and direct phone calls, take messages, and provide information to callers.
  • Manage and maintain electronic and paper filing systems.
  • Schedule and coordinate meetings, appointments, and conference calls.
  • Prepare agendas, take meeting minutes, and follow up on action items.
  • Prepare, organize, and approve payroll.
  • Order and maintain office supplies, ensuring adequate stock levels.
  • Maintain and organize common office areas.
  • Assist with photocopying, scanning, and faxing.
  • Greet and assist visitors in a professional and courteous manner.
  • Draft and edit correspondence, emails, memos, and reports.
  • Proofread documents for accuracy and completeness.
  • Maintain and update contact lists and databases.
  • Assist with the preparation of presentations and other materials.
  • Assist with various administrative tasks related to projects.
  • Gather information and prepare reports as needed.
  • Follow up on project-related tasks and deadlines.
  • Perform other administrative and clerical duties as assigned.
  • Maintain confidentiality of sensitive information.
  • Contribute to a positive and collaborative team environment.
