About The Position

This is an entry-level position in aviation and program coordination within NAV CANADA’s Stakeholder and Commercial Relations team. The Stakeholder Programs Coordinator will support all coordination activities for the Stakeholder Relations Program, including managing large-scale meetings, interfacing with internal and external stakeholders at national and international levels, and developing/updating unit procedures manuals and process workflows. The role reports to the Director, Stakeholder and Commercial Relations.

Requirements

  • Post-secondary education in a related field (professional writing, project coordination, administration, event planning, etc.) OR a minimum of 5 years’ related experience.
  • Experience in coordinating and planning aspects of large-scale meetings, events and sponsorships.
  • Experience conducting background research to analyze and synthesize a broad range of issues pertaining to program coordination services.
  • Experience in writing topic-based content in multiple formats to support consistent messaging.
  • Knowledge of general administrative practices, work organization, and activity monitoring.
  • Knowledge of coordinating and planning aspects of large-scale meetings and events.
  • Advanced knowledge of MS365 Office Suite including Word, Excel, PowerPoint, Outlook, SharePoint Online, Forms.
  • Good knowledge of MS Project and Adobe ProSuite.
  • Knowledge of project management.
  • Proven ability to manage time effectively and prioritize competing priorities.
  • Ability to convert complex information into clear, concise, plain language.
  • Ability to develop correspondence, reports, backgrounders, presentation material and other products.
  • Ability to perform web-based research, optimizing search engine capabilities and information seeking tools.
  • Ability to communicate effectively orally and in writing for the intended purpose and audience.
  • Demonstrated ability to exercise sound judgment and maintain an open mind.
  • Ability to facilitate review sessions with management.
  • Ability to adapt to changing priorities, work under minimal supervision, work in both team and individual settings and handle multiple concurrent tasks.
  • Demonstrated interpersonal skills enabling effective relationship management with tact, diplomacy, discretion, and sound judgment.
  • Initiative and ability to work under pressure, under changing circumstances, often involving conflicting priorities and tight deadlines.
  • Attention to detail over prolonged periods.
  • Must meet the security requirement of the position.
  • Must be legally able to work in Canada.

Nice To Haves

  • Operational experience in the aviation industry may be considered an asset.
  • Knowledge of NAV CANADA’s mandate and role, awareness of priorities and operational processes.
  • Basic knowledge of aviation industry and terminology.

Responsibilities

  • Plan, manage, and coordinate documentation and activities related to large‑scale meetings with internal and external stakeholders.
  • Prepare meeting materials, ensure process alignment, maintain and update participant lists, track and follow up on action items, and distribute post‑meeting communications.
  • Review, update, and develop documentation to support the Business and Stakeholder Relations group.
  • Manage existing content, update manuals, meet publication timelines, document processes, design workflows, create templates and checklists, contribute to dashboards, and ensure consistency and standardization of language and formatting.
  • Conduct research assignments and prepare project reports or documents using desktop publishing tools, including analyzing information and formulating recommendations.
  • Research, develop, and retain a national contacts database and calendar of industry events.
  • Liaise with internal and external contacts on a national scale on a variety of initiatives.
  • Support SCR team members for SharePoint Online related issues.
  • Perform other related duties from a functional perspective.
