About The Position

The Staffing Coordinator is responsible for coordinating and maintaining nursing schedules to ensure safe, appropriate staffing levels that support quality resident care and regulatory compliance. This role works closely with the Director of Nursing (DON), Assistant Director of Nursing (ADON), nursing leadership, and staffing agencies to fill open shifts, monitor attendance, and maintain accurate staffing records. The ideal candidate is organized, detail-oriented, and thrives in a fast-paced healthcare environment.

Requirements

  • High school diploma or equivalent required
  • Proficient in Microsoft Office, including Outlook, Excel, and Word.
  • Strong organizational, multitasking, and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to prioritize multiple assignments in a fast-paced environment.
  • Strong critical thinking and problem-solving abilities.
  • Ability to work independently while collaborating effectively with interdisciplinary teams.

Nice To Haves

  • Additional education in healthcare administration or business is preferred.
  • Previous scheduling or staffing experience in a healthcare, long-term care, skilled nursing, or hospital setting is strongly preferred.
  • Experience with staffing, scheduling, or payroll software is preferred.
  • Knowledge of staffing regulations for long-term care facilities.
  • Understanding of payroll and timekeeping processes.
  • Ability to work with urgency and adapt to changing staffing needs.
  • Excellent customer service and relationship-building skills.

Responsibilities

  • Develop, maintain, and update daily, weekly, and monthly nursing schedules.
  • Ensure staffing levels meet facility census, acuity, state and federal regulations, and company standards.
  • Fill open shifts by communicating with employees, PRN staff, and approved staffing agencies.
  • Collaborate with the Director of Nursing and Assistant Director of Nursing to proactively address staffing needs and scheduling challenges.
  • Maintain accurate timekeeping, attendance, and "as-worked" schedules in accordance with payroll requirements and regulatory guidelines.
  • Monitor employee attendance, call-offs, overtime, and schedule changes while communicating concerns to nursing leadership.
  • Maintain current staffing records and complete all required documentation accurately and timely.
  • Coordinate with external staffing agencies as directed by the DON or ADON to ensure adequate nursing coverage.
  • Assist with scheduling orientation shifts for new hires and updating employee availability.
  • Maintain confidentiality of resident, employee, and facility information in accordance with HIPAA and company policies.
  • Provide exceptional customer service while interacting professionally with employees, leadership, residents, families, and agency personnel.
  • Perform other duties as assigned by the Director of Nursing or Assistant Director of Nursing.
