About The Position

Be a part of a world-class academic healthcare system, UChicago Medicine as a Staffing Coordinator at our Hyde Park location. Here you will work alongside our Nursing Staff Resource team. This position is a 100% onsite opportunity. You will need to be based in the greater Chicagoland area. The Staffing Coordinator supports daily operations within Patient Care Services by ensuring hospital units are staffed safely, efficiently, and in alignment with organizational and union guidelines. This role manages real-time staffing needs, maintains accurate scheduling records, and serves as a key communication link between clinical units, leadership, and the Staffing Resource Office (SRO).

Requirements

  • High school diploma or equivalent.
  • Strong communication and customer service skills.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Proficiency with computer systems and data entry.

  • Experience with staffing, scheduling, or healthcare operations preferred.

Responsibilities

  • Coordinate daily staffing assignments for inpatient units based on census, acuity, skill mix, and established staffing standards.
  • Monitor call-offs, schedule changes, and staffing variances; adjust assignments in real time to maintain safe coverage.
  • Maintain and update daily staffing sheets, sick logs, care companion logs, and other required documentation.
  • Communicate staffing updates, shortages, and changes to unit leadership and Patient Care Services leadership.
  • Collaborate with the SRO Manager and unit leaders to support short-term and long-term staffing plans.
  • Serve as the point of contact for agency/MSP staff, including verifying schedules, approving time slips, and ensuring compliance with UCM policies.
  • Ensure adherence to union contract rules, HR policies, and payroll requirements when scheduling or adjusting staff.
  • Participate in Managing for Daily Improvement (MDI) processes and support operational problem-solving.
  • Assist with onboarding and training new Staffing Resource Office employees.
  • Provide administrative support to the SRO when leadership is offsite or unavailable.
