About The Position

We are seeking a highly organized, detail-oriented Staffing Coordinator to join our onsite team at Oakland Arena. In this pivotal role, you will act as a primary liaison between concession supervisors, management, senior leadership, HR, and our valued non-profit partners to ensure the seamless execution of every event. The ideal candidate thrives in a fast-paced environment and possesses exceptional communication skills to manage diverse stakeholders effectively. You will be responsible for balancing key administrative tasks with real-time staffing coordination to ensure successful event delivery.

Requirements

  • Proven experience in an administrative or coordination role within a fast-paced environment.
  • Exceptional interpersonal skills with the ability to interact professionally at all organizational levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational skills and the ability to adapt to changing priorities.
  • Ability to stand for long periods, walk, stoop, and move easily from sitting to standing.
  • Ability to lift and move materials up to 50 pounds.
  • Ability to work in extreme cold (coolers/warehouses) for significant portions of the workday.
  • Mental and physical alertness to react effectively in emergency situations.

Responsibilities

  • Create and manage event-based schedules for concessions team members to meet operational demands.
  • Collaborate with management to forecast staffing needs based on event requirements and attendance.
  • Manage call-offs and last-minute changes by reallocating staff or arranging replacements in real-time.
  • Partner with Human Resources to efficiently onboard and schedule new hires.
  • Serve as the primary point of contact for team members regarding scheduling inquiries and conflict resolution.
  • Promptly communicate shift updates and event expectations to the workforce.
  • Coordinate with supervisors to track attendance and address tardiness or no-shows.
  • Maintain accurate records of hours worked, staff availability, and required certifications (e.g., Food Handling and CA Responsible Beverage Service).
  • Ensure all scheduling practices comply with labor laws and company policies.
  • Support payroll processes by verifying timesheets and maintaining scheduling systems.
  • Assist with onsite check-ins, credential distribution, and team member deployment.
  • Provide real-time support to ensure all operational needs are met during stadium events.
