About The Position

This is a professional Staff Assistant position that provides administrative assistance to the School Based Preventative Dental Sealant program. The incumbent must have experience or willing to work with children 0-18, with primary focus on school age children 3-12 years of age, in a school setting providing support to the dental hygienists. The incumbent will report directly to the Senior Community Health Nursing Supervisor. Performance is evaluated based upon observation of work performed. Frequent communication with immediate supervisor about performance is expected and will result in a detailed performance evaluation. Access to confidential records – maintains 100% confidentiality and follows DOH policies and procedures.

Responsibilities

  • Coordinate with school district staff to schedule Dental screenings and program services
  • Create class schedules
  • Prepare school program packets to include- letter to principals, screening forms, and schedule
  • Drop off and/or pick up school program packets
  • Utilize dental portals to verify dental services
  • Verify program eligibility using FLMMIS/HMS
  • Complete follow up calls to dental providers and families
  • Document case management/follow-up calls
  • Coordinate continuity of care appointments
  • Work with community partners to set up follow up appointments
  • Utilize MFMP to purchase program supplies and equipment
  • Provide outstanding customer service to internal and external customers
  • Program supply inventory and monitoring
  • Update annually all working MOA’s with school district, colleges, early learning centers and other community partners as directed by program supervisor
  • Archiving annual files
  • Assist program supervisor with updating the hygienist protocols and submission to the state
  • Assist program supervisor with dental insurance surveys and submitting to the state office
  • Assist program supervisor with managing the program files to insure up to date and properly archived
  • Assist with transporting program supplies and equipment, setting up program supplies/equipment at sites
  • Assist dental hygienists in schools by managing daily student schedule, providing education and other duties as assigned
  • Attend department/program and agency meetings
  • Attend professional development trainings per grant requirements
  • Comply with all DOH-Martin required annual training
  • Enter and submit EARs per agency requirement
  • Submit timesheets through People First- bi-weekly
  • Performs other related duties as assigned in support of the agency’s vision and mission.
