About FAAD The Family and Adult Division (FAAD) is seeking a talented and passionate Staff Assistant I. This position will report directly to the Division Director and serve as the hub for 130+ employees. This position will often find themselves in a fast-paced work environment, with a lot of moving parts. The successful candidate will have an inherent curiosity, the capacity to learn, and a creative flare. We are also looking for someone that is naturally proactive and does not wait to be told what to do. An individual who will anticipate needs before they arise, with very strong organizational skills. It is critical for this position to be a highly effective communicator, and able to address business requirements throughout all levels of the organization. In this role, you will work both independently and as part of a team and must be able to interact with staff at all levels of our agency. The selected candidate will be driven, engaged, able to communicate both verbally and in writing at the highest levels, understand discretion and the sensitive nature of the work we do, and have a demonstrated passion for the clients we serve each day. This position provides a unique and exciting challenge for the right candidate. The successful candidate must display high standards of ethical conduct and possess a high degree of professionalism to provide administrative support for the FAAD Division Director and management team to ensure smooth continuity of business. This role provides executive support in a one-on-one working relationship with the Division Director in a fast-paced office. Requirements

  • Graduation from high school or the possession of a GED, HiSET or TASC Certificate.
  • Four (4) years of experience performing specialized and/or technical office support work of the type and at the level of Administrative Support Assistant IV.
  • One (1) year of the appropriate type and level of education may be substituted for each required year experience.
  • By position, must obtain Criminal Justice Information Services (CJIS) clearance within the probationary period.

Responsibilities

  • Implement and coordinate specific administrative functions by exercising delegated decision making authority over essential elements of the function.
  • Evaluate operational objectives or procedures and recommend/create modifications and/or other solutions by analyzing operational issues and/or addressing management concerns.
  • Recommend and offer informed opinions to management on courses of action based on specialized knowledge.
  • Interpret, communicate and implement agency policy and procedural changes.
  • Assist other staff in adapting to new policies and practices, modifications and/or other solutions.
  • Implement, maintain and monitor expenditure controls for the organization.
  • By position, participates in budget development by identifying and quantifying both ongoing and special budgetary requirements and provides justifications for requested budget items and amounts.
  • Performs other related duties as assigned.
  • Employees may be re-deployed to work in other capacities in their own agencies or in other City agencies to support core functions of the City during a City-wide emergency declared by the Mayor.
