Job Summary We are seeking a Sr. Specialist, Proposal Operations Support to support our Business Operations team with a dedicated focus on Proposal Operations. This role supports high-impact, time-sensitive proposal efforts and requires the ability to operate effectively in a fast-paced, evolving environment. The ideal candidate brings a strong process-improvement mindset, advanced Microsoft Excel skills, and exceptional organizational discipline to manage multiple deadlines and deliverables. Prior experience in proposal development or proposal operations is strongly preferred. Success in this role relies on adaptability, attention to detail, and a consistently positive, collaborative approach that supports cross-functional partners and continuous improvement initiatives.

Responsibilities

  • Support Proposal Operations and broader Business Operations teams by coordinating, tracking, and managing proposal-related activities, deliverables, and timelines in a fast-paced environment.
  • Own and maintain proposal operations reporting and tracking tools, leveraging advanced Microsoft Excel capabilities to monitor workload, deadlines, compliance requirements, and operational metrics.
  • Coordinate recurring operational reporting (weekly/monthly), including analysis of proposal activity, cycle times, capacity, and process effectiveness; recommend enhancements to tools, templates, and workflows to drive efficiency and consistency.
  • Support proposal development efforts by organizing inputs, tracking approvals, managing version control, and ensuring deadlines and submission requirements are met.
  • Generate operational summaries, dashboards, and ad-hoc analyses for leadership to support decision-making, prioritization, and continuous improvement initiatives.
  • Document and improve proposal operations processes, identifying gaps, bottlenecks, and opportunities for standardization and automation.
  • Collaborate cross-functionally with Sales, Product, Legal, Finance, and other stakeholders to support proposal execution and resolve issues impacting timelines or deliverables.
  • Exercise independent judgment and discretion in managing priorities, resolving operational issues, and recommending process improvements.
  • Demonstrate strong organizational skills, attention to detail, and a disciplined approach to managing multiple concurrent requests and deadlines.
  • Maintain regular, consistent, and punctual attendance; flexibility may be required to support critical proposal deadlines, including variable schedules or overtime as needed.
  • Perform other duties and responsibilities as assigned in support of Proposal Operations and Business Operations objectives.
